Job description

Position Summary

The Tulsa Operations Coordinator provides hands-on administrative and operational support for SHD Composites' Tulsa manufacturing facility. This multifunctional role coordinates production documentation, shipping and receiving, inventory records, local purchasing, raw-material communication, and basic facility support. The position is intended to improve site organization and workflow while allowing technical and operational leaders to focus on production, quality, engineering, and continuous-improvement priorities.

Essential Duties and Responsibilities
  • Independently generate work orders, run packs, travelers, labels, and other production documentation accurately and on schedule.
  • Enter, update, and verify work orders, material movements, receipts, issues, and other transactions in the company's ERP/MRP and production-control systems.
  • Review and close out completed production paperwork, verify required information, and route records for retention or further review.
  • Prepare shipping documentation, labels, packing information, and related records; coordinate loading and carrier pickups.
  • Receive incoming materials and supplies; verify quantities and condition, label items, complete system transactions, and stock materials in designated locations.
  • Perform cycle counts and physical inventory counts; investigate and resolve discrepancies, document adjustments, and maintain accurate inventory records.
  • Monitor local consumable and operating-supply levels and place approved orders before shortages affect production.
  • Coordinate raw-material requirements and order status with the Mooresville purchasing and operations teams.
  • Maintain organized production, inventory, shipping, receiving, purchasing, quality, and traceability records in applicable systems and files.
  • Coordinate routine facility-maintenance requests, contractor visits, service appointments, and required site access.
  • Support production scheduling by monitoring priorities, material availability, work-order status, shipment commitments, and potential constraints.
  • Prepare routine operational reports and status updates covering production documentation, inventory, purchasing, shipping, receiving, maintenance, and open actions.
  • Assist with AS9100 and quality-system document control, including scanning, filing, revision distribution, record retention, audit preparation, and record retrieval.
  • Operate approved material-handling equipment after completing required company training and assist with safe loading, unloading, staging, and movement of materials.
  • Communicate shortages, damaged materials, documentation errors, shipment delays, maintenance concerns, and other operational risks promptly.
  • Follow all safety, quality, security, and housekeeping requirements, including applicable ISO/AS9100 procedures.
  • Manage assigned responsibilities with limited day-to-day supervision, prioritize urgent operational needs, and provide reliable follow-through through completion.
  • Provide backup support for other administrative, inventory, shipping, receiving, production-control, and purchasing activities as business needs require.
Required Qualifications
  • High school diploma or equivalent.
  • At least two years of experience in manufacturing administration, production control, inventory, shipping/receiving, purchasing support, warehouse operations, or a related field.
  • Experience preparing and maintaining accurate operational records and documentation.
  • Working knowledge of Microsoft Excel, Word, Outlook, and electronic business systems.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Clear written and verbal communication skills and the ability to work effectively with production employees, managers, suppliers, carriers, and contractors.
  • Ability to work independently, recognize problems, and escalate issues appropriately.
Preferred Qualifications
  • Experience in an aerospace, composites, chemical, automotive, or other regulated manufacturing environment.
  • Experience using an ERP/MRP, inventory, shipping, or production-control system.
  • Experience preparing operational reports, monitoring schedules, and coordinating priorities across manufacturing functions.
  • Knowledge of work orders, production travelers, bills of material, purchase orders, cycle counting, and document control.
  • Forklift experience or willingness and ability to complete company-provided forklift training.
  • Familiarity with ISO 9001, AS9100, or similar quality-management requirements.

Physical and Work Requirements

The employee must be able to perform office and warehouse activities, including prolonged computer work; frequent standing and walking; bending and reaching; and moving materials weighing up to 35 pounds, with assistance or material-handling equipment for heavier items. The position may involve exposure to normal manufacturing noise, moving equipment, temperature variations, and regulated materials. Required personal protective equipment must be worn.
