Data Management Coordinator – Aerospace

Astronics Advanced Electronic Systems (AES) | Cabin Power Electronics Team

Kirkland, WA (on-site, with 2–3 WFH days/week)

About the Role

Astronics AES is seeking a Data Management Coordinator to serve as a critical functional resource responsible for developing, implementing, and maintaining data management and document control systems. This role ensures the accurate, compliant, and timely flow of technical data, contractual documentation, and controlled records across internal departments and external customers. The coordinator will operate in a highly regulated environment and must demonstrate a solid understanding of aerospace industry standards, trade compliance requirements, and customer data deliverable obligations.

This role is ideal for someone who thrives in a structured, highly regulated environment (aerospace/defense) and enjoys building and refining data and document control processes.

What You'll Do

Document Control

  • Assist in the development, implementation, and maintenance of document control systems and workflows that support program execution, organizational quality standards, and procedural compliance objectives.
  • Support the establishment and application of standardized procedures for the creation, review, distribution, storage, and retrieval of controlled documents, including engineering drawings, specifications, and technical reports, under the guidance of senior data management personnel.
  • Verify the accuracy and completeness of documents prior to internal processing or external submittal, confirming that required signatures, revision levels, and supporting data are present and correct.
  • Ensure proper handling, storage, and retrievability of all controlled documents and records; maintain organized filing structures within document management systems and physical repositories as applicable.
  • Assist departments in developing and adhering to document standards, templates, and established best practices to promote consistency and efficiency across programs.
  • Support document retrieval requests from internal teams, auditors, and customers, ensuring timely and accurate responses in accordance with applicable procedures.

Data Submissions & Compliance

  • Track, process, and manage Notices of Change (NOCs), Supplier Data Requirements Lists (SDRLs), and other customer and supplier data submittals across assigned programs.
  • Maintain and update tracking logs and status dashboards for all data submissions, providing program teams with real-time visibility into submittal status, pending actions, and upcoming deadlines.
  • Support coordination efforts with engineering, quality, and program management to ensure document packages are prepared and submitted in accordance with contractual schedules and customer-specified formats.
  • Monitor compliance with submission deadlines and escalate at-risk deliverables to senior data management personnel or program leadership as needed.
  • Maintain organized records of data submittal transactions to support program documentation, audits, and contract activities.

Continuous Improvement & Reporting

  • Assist in the preparation and distribution of routine reports on document control status, data submittal tracking, and outstanding action items for program managers and leadership.
  • Identify and communicate opportunities to improve administrative processes related to document control and data submissions, supporting senior staff in implementing procedural enhancements.
  • Participate in training and development activities to build proficiency in data management systems, tools, and aerospace documentation standards.

What We're Looking For

Background

  • 2+ years of experience in data management, document control, or records management, preferably within aerospace, defense, or government contracting.
  • Associate's degree in Business Administration, Information Management, Engineering, or a related field—or equivalent work experience in an administrative, records management, or document control capacity. Bachelor's degree in a related field preferred.

Core Skills

  • Exposure to or familiarity with controlled document environments, data tracking, or administrative support roles preferred.
  • Experience working within an aerospace, defense, or government contracting environment is a plus but not required.
  • Basic understanding of document control principles, records management practices, and data submittal processes.
  • Strong attention to detail and organizational skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Effective written and verbal communication skills, with the ability to work collaboratively with internal teams.
  • Ability to follow established procedures, guidelines, and quality standards accurately and consistently.
  • Familiarity with ITAR, EAR, or export control concepts is a plus.
  • Basic awareness of AS9100 or other aerospace quality and documentation standards is preferred.

Compensation & Benefits

  • Salary range: $29.14–$43.71 per hour (midpoint: $36.42)
  • Quarterly Profit Sharing Bonus eligible
  • Actual salary offered depends on factors such as experience in comparable roles, skill set, training, education, certifications, other qualifications, market conditions, and business needs. It is not typical to be hired at or near the top of the range.
