Document Control Lead
Location: NYC On-site
Salary: $120-$140K
Position Summary
The Document Control Lead will oversee document management, records control, and compliance across large-scale transportation and programs. This role ensures the accuracy, integrity, and timely distribution of project documentation while supporting regulatory, quality, and contractual requirements. Working closely with project teams, consultants, contractors, and stakeholders, the successful candidate will drive document control best practices and process consistency across the program.
Key Responsibilities
  • Manage and maintain document control processes, standards, and workflows across multiple projects.
  • Oversee intake, distribution, tracking, and storage of project documentation, including RFIs, submittals, drawings, specifications, meeting minutes, and reports.
  • Ensure proper document naming conventions, metadata, version control, and records retention standards.
  • Coordinate document reviews and approvals between internal and external stakeholders.
  • Prepare and maintain document logs, transmittals, reports, and audit records.
  • Perform quality assurance reviews to ensure compliance with project and organizational standards.
  • Support audits, reporting requests, executive briefings, and document retrieval activities.
  • Administer and support document management systems such as SharePoint, Aconex, ProjectWise, Procore, eBuilder, or similar platforms.
  • Develop and maintain document control procedures, work instructions, and governance documentation.
  • Lead closeout documentation efforts, including as-builts, O&M manuals, turnover packages, and project archives.
  • Identify and implement process improvements to enhance efficiency and consistency across programs.

Qualifications
  • 5-10 years of document control, records management, or project administration experience supporting large-scale transportation, infrastructure, construction, engineering, or public-sector projects.
  • Strong understanding of document control practices, version control, metadata management, and records retention requirements.
  • Experience with SharePoint and/or enterprise document management systems (EDMS) such as Aconex, ProjectWise, Unifier, eBuilder, or Procore.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Excellent organizational, communication, and stakeholder management skills.
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Demonstrated experience developing procedures, work instructions, governance documents, or management plans.
  • Strong attention to detail and commitment to quality and accuracy.
  • Ability to work onsite four days per week.

Preferred Qualifications
  • Experience supporting transportation, transit, rail, or other major capital programs.
  • Experience working with public agencies, government entities, or regulated environments.
  • Associate's or Bachelor's degree in Construction Management, Engineering, Business Administration, or a related field.
  • Familiarity with regulatory documentation, permitting, environmental compliance, or project closeout processes.
