The Executive Assistant sits at the center of it all, keeping our Executive Leadership team prepared, informed, and a step ahead.

Position Overview

The Executive Assistant provides high-level administrative and organizational support to Aegis Power Systems' Executive Leadership team. You'll manage complex calendars, coordinate meetings and travel, keep executive inboxes under control, and prepare polished, executive-facing materials, often shifting priorities in real time as the day demands. This onsite role is ideal for a proactive, detail-oriented professional who exercises sound judgment, maintains strict confidentiality, and thrives in a fast-paced environment. Occasional travel up to 25%.

Key Responsibilities:

Calendar, Meetings & Scheduling

  • Manage complex, high-volume executive calendars, proactively resolving conflicts and adjusting in real time as priorities shift
  • Manage and coordinate the executive's integrated business and personal calendar, ensuring priorities are aligned and scheduling conflicts are proactively resolved
  • Organize meetings end to end: agendas, attendees, room and A/V setup, catering, minutes, and follow-up on action items
  • Maintain executive project trackers, monitor deadlines, and support strategic planning and cross-functional initiatives

Communications & Executive Support

  • Monitor and manage executive inboxes, flagging priorities and drafting or routing responses with discretion
  • Serve as a professional point of contact between Executive Leadership and staff, clients, vendors, and partners
  • Prepare, format, and proofread presentations, reports, and executive-facing materials aligned with Aegis brand standards Assist with social media content to support employer branding

Confidential Administration

  • Manage executive expense reports and reimbursements
  • Maintain confidential files, contracts, and agreements; assist with NDAs and executive document control
  • Handle sensitive correspondence with strict confidentiality

Travel & Special Projects

  • Arrange domestic travel with detailed itineraries; occasional driving of executives and travel accompaniment
  • Organize company meetings with customer 
  • Leadership personal scheduled integrated with professional scheduling

Required Qualifications

  • 5+ years of experience supporting C-suite or senior executive leadership
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Exceptional organizational skills with the ability to manage multiple priorities under tight deadlines
  • Strong written and verbal communication skills with excellent attention to detail
  • Ability to work onsite in Murphy, NC, with flexibility to accommodate executive schedules; occasional travel up to 25%

Preferred Qualifications

  • Associate's or Bachelor's degree, or equivalent combination of education and experience
