Job description

Summary:

The Order Management Specialist is responsible for creating, distributing, and maintaining internal and external work/job orders. They support manufacturing operations by coordinating and maintaining accurate work order information, ensuring updates are communicated in a timely manner to meet operational requirements.

This role provides cross-functional support to the Sales, Supply Chain, Manufacturing, and Engineering departments. They collaborate with these teams on project costing and quotations, coordinating material and parts availability, and reviewing technical drawings to ensure alignment with customer requirements and specifications. This position requires flexibility and may involve various shifts and overtime hours depending on the scope of work and operational requirements.

Job Duties/ Responsibilities

  • Work with operations managers to ensure manufacturing schedules and planning are aligned.
  • Manage all aspects of internal and external work orders, including order creation, revisions, scheduling, and ongoing coordination to support operational and customer requirements.
  • Coordinate with internal departments and third-party suppliers to support on-time delivery and ensure customer requirements and order commitments are met.
  • Support internal stakeholders with quotes, costing details, and updates on customer orders and work order status.
  • Work closely with teams across the organization to collect/provide information that impacts production operations, ensuring planned orders are completed on time and according to schedule.
  • Collaborate with supply chain department to ensure inventory levels of components, raw materials, and purchased items are addressed to meet work order requirements and revisions.
  • Collect the required information and documentation to assemble and distribute the production work orders (job travelers) to the appropriate departments.
  • Coordinate with engineering and business development to ensure accurate product drawings are available for work order creation and revisions.
  • Maintain organized work order records and related documentation to ensure accurate and timely access to information.
  • Works with department supervisors to ensure work orders are understood, executed, and closed out on a timely basis.
  • Work within the Company’s QMS policies and practices and where appropriate, recommend improvements.
  • Ensure applicable Standard Operating Procedures, policies, and best practices are adhered to.
  • Participates in safety inspections/audits and coordinates any necessary corrective action when required.
  • Work within and promote the HSE policies and practices of the Company.

Skills/Knowledge

  • Strong attention to detail with a meticulous approach to work, ensuring accuracy and completeness
  • Self-motivated with the ability to prioritize tasks, manage competing deadlines, and take ownership of responsibilities in a fast-paced environment.
  • Possess and applies knowledge of production process and flow throughout the manufacturing shop.
  • Proficiency with Microsoft Office
  • Demonstrated ability to use ERP and production planning systems.
  • Strong communication skills across all levels of the organization

    Education

    • Post-secondary education in a relevant field or industry, or equivalent work experience.
    • Bachelor of Science (B.Sc.) – Engineering preferred

    Experience

    • 3+ years applicable experience
    • Sand Control Screens Manufacturing or Quality Assurance/Control is preferred
    • Experience working and maintaining Quality Management Systems
    • Experience ERP systems; Microsoft Dynamics 365 Business Central is considered an asset
