The XS Telecom team is seeking an HR Operations Coordinator to join our growing team! The HR Operations Coordinator supports the day-to-day operations of the Human Resources department and plays an important role in creating positive, professional, and service-focused employee experience. This position assists with onboarding, employee records, benefits administration, compliance tracking, HR systems, employee communications, and general HR operational support. 

Essential Duties and Responsibilities 

Onboarding and New Hire Support 

  • Coordinate pre-employment requirements, including background checks, drug testing, required forms, onboarding documents, and policy acknowledgments. 

  • Assist with new hire orientation preparation, communication, scheduling, and materials. 

  • Support remote onboarding processes, including electronic forms, virtual orientation support, system access follow-up, and new hire communication. 

  • Ensure new hire paperwork is completed accurately and submitted on time. 

  • Partner with hiring managers, payroll, safety, training, IT, and other departments to support a smooth onboarding experience. 

  • Help create a welcoming and organized experience for new employees. 

Employee Records and HR Administration 

  • Maintain accurate employee records in HR systems and electronic personnel files. 

  • Process employee changes, including job title updates, department changes, supervisor changes, compensation updates, and employment status changes. 

  • Assist with employment verifications, employee letters, policy acknowledgments, HR forms, and general documentation. 

  • Prepare and maintain HR reports, spreadsheets, and tracking documents as needed. 

  • Ensure employee records are maintained in accordance with company policy and applicable legal requirements. 

Benefits and Leave Support 

  • Support benefits enrollment, eligibility updates, life event changes, and vendor follow-up. 

  • Maintain confidentiality when handling benefits, medical, and leave-related information. 

Compliance and Policy Support 

  • Assist with I-9 completion, audits, and compliance tracking. 

  • Support required training assignments, acknowledgments, certifications, and follow-up. 

  • Help ensure HR processes are completed consistently and in alignment with company policies. 

  • Escalate employee concerns, policy questions, or compliance issues to HR leadership when appropriate. 

  • Support a culture of safety, accountability, fairness, and consistency. 

Employee and Manager Support 

  • Respond to routine HR questions or direct employees to the correct resource. 

  • Assist managers with HR forms, process questions, employee updates, and follow-up items. 

  • Maintain a respectful, neutral, and solutions-focused approach when handling employee matters. 

  • Support employee engagement initiatives, recognition efforts, company communications, and HR events as needed. 

  • Help reinforce company expectations, professionalism, and positive workplace culture through daily interactions. 

HR Systems and Reporting 

  • Enter, update, and maintain employee information in HRIS and other HR platforms. 

  • Monitor pending system tasks and follow up to ensure timely completion. 

  • Run basic reports related to onboarding, headcount, benefits, employee changes, training, reviews, and compliance. 

  • Identify recurring process gaps or issues and communicate them to HR leadership. 

  • Assist with HR process improvement efforts and system clean-up projects. 

 
 

Qualifications 

  • High school diploma or equivalent required. 

  • 1 to 3 years of administrative, HR, payroll, benefits, onboarding, or related office experience. 

  • Experience handling confidential information. 

  • Strong computer skills, including Microsoft Outlook, Word, Excel, and Teams. 

  • Ability to learn HR systems, onboarding platforms, payroll systems, and electronic document systems. 

  • Excellent attention to detail, organization, and follow-through. 

  • Ability to manage multiple priorities and meet deadlines. 

  • Prior HR experience, HR coursework, or experience with HRIS/onboarding systems is helpful but not required.

This role is not eligible for visa sponsorship. The base salary range for this position is $52,000- $72,000 annually. Please note that the compensation range reflects the base pay only and does not include benefits, or bonuses this role may be eligible to receive.
