What you will do:

The National Operations department is currently seeking anOperations Assistant (3-Month Contract),reporting directly to Executive Director, QC Operations and Executive Director, GTA Operations.Please note: This role is hybrid with 3 days based out of our Regional Office located at 350 rue Emery, Montreal, QC H2X 1J.

Key Areas of Responsibilities:

  • Provide administrative support to the Executive Directors for the QC and GTA regions and other team members within the Operations department
  • Prepare memos, correspondence, proposals, reports, cubes and spreadsheets
  • Organize personnel schedules, coordinate meetings, appointments, travel arrangements, and expenses
  • Maintain relevant databases and assist in preparation for reviews or meetings
  • Code and track invoices and spending
  • Complete payroll focused tasks in a timely manner
  • Generate forms and maintain weekly tracking of various theatre-related files for EDs
  • Prepare and maintain project schedules and tracking
  • Plan and execute conferences/meetings - coordinate group sessions between venue personnel, regional support team and Executive Directors, organize events/seminars/entertainment
  • Handle time sensitive projects and confidential files
  • Maintain communication between all venues within the GTA and QC regions
  • Open and distribute mail, prepare couriers and maintain files
  • Assist with department projects as required

Qualifications:

  • Has clerical/basic accounting skills
  • Encompasses strong attention to detail
  • A background in theatre management, LBE, retail or hospitality environments is an asset
  • Must be mature self-starters, detail oriented, able to meet deadlines, take initiative, and able to work independently
  • Must use discretion and judgment necessary to treat confidential items and assignments appropriately
  • Must have excellent oral and written communication skills in French and English
  • Must be efficient and possess strong keyboarding skills
  • Must be able to maintain effective working relationships with venue, regional and home office teams
  • Must possess a strong guest service focus and have superior interpersonal and time management skills
  • Must have the ability to manage conflicting priorities
  • Expert use of Microsoft Office including Word, Excel, and PowerPoint and Outlook are prerequisites for this position.

Planifier et mener des conferences/reunions - coordonner des sessions de groupe entre le personnel des cinemas, l'equipe de soutien regional et les directeurs executifs, organiser des evenements/seminaires/divertissements
Gerer des projets urgents et des dossiers confidentiels
Assurer la communication entre tous les sites des regions du QC et GTA
Aider aux projets du departement au besoin

Qualifications :
Posseder des competences en bureautique/comptabilite de base
Faire preuve d'une grande attention aux details
Une experience en gestion de cinema, en divertissement, en commerce de detail ou en milieu hotelier est un atout
Etre une personne autonome, mature, orientee vers les details, capable de respecter les echeances, de prendre des initiatives et de travailler de facon independante
Faire preuve de discretion et de jugement afin de traiter adequatement les informations confidentielles et les mandats
Posseder d'excellentes competences en communication orale et ecrite en francais et en anglais
Etre efficace et posseder de solides competences en saisie
Etre capable de maintenir des relations de travail efficaces avec les equipes des cinemas, regionales et du siege social
Avoir un fort souci du service aux invites et d'excellentes aptitudes interpersonnelles et en gestion du temps
Avoir la capacite de gerer des priorites conflictuelles
Maitrise experte de Microsoft Office, y compris Word, Excel, PowerPoint et Outlook, requise pour ce poste
