Job description

  • Daily office functions; Opening and closing procedures around the property, such as batching payments, replenishing ice, turning on and off lights and straightening furniture.
  • Perform administrative support tasks, such as proofreading, drafting confirmations and invoices; maintain files, preparing correspondence, memos, gift certificate or other documents. Receives and transmits messages, mail, facsimiles and packages as needed.
  • Maintains high visibility within the resort and has regular positive contact with guests throughout their stay. Meets and greets guests on phone calls, online and in person.
  • Answers inquiries pertaining to resort services, registration and comments; Provides information on shopping, entertainment and travel directions. May assist guests in making dinner reservations and arranging sightseeing tours.
  • Makes and confirms reservations by phone and internet using Guest Point as well as the reservation book; Obtains guest information; Prepares room charges; Processes credit card or cash payments and drafts confirmations.
  • Registers arriving guests, assigns room and issues keys, escorts them to their room and checks them out at the end of their stay.
  • Keeps records of room assignments, availability and other registration information. Tracks long term guests and issues resort gifts or souvenirs. Issues activity equipment and maintains the sign out log.
  • Complies with all procedures and standards set out in the staff manuals. Carries out inspections of the property and services; Ensures compliance with licensing laws, fire, health, safety and other statutory regulations.

·         Supervises housekeeping, maintenance, and landscape / grounds crew to guarantee resort standards are being met. Oversees staff regarding customer service procedures, policies and execution, renovations and furnishings; Inventories, orders and issues stock to make certain adequate supplies are on hand.

  • Checks that all rooms are clean, orderly and attractive; Drafts lists of vacant and occupied rooms which need to be cleaned and prepares work assignments for housekeeping staff. Instructs staff on their duties, Inspects work for conformance with the resorts standards of cleanliness.
  • Assists in the coordination of resort gatherings and events. Will stage rooms with flowers, champagne or gifts for special occasions.
  • Manages, trains and motivates other resort team members; Carries out disciplinary procedures when necessary; Issues instructions and Plans work schedules. Works with contractors and suppliers when needed.
  • Troubleshoots and addresses problems; Investigates complaints regarding housekeeping service and equipment, maintenance or landscaping and takes corrective action.
