Summary:
This role is based in Atlanta and is responsible for executing and coordinating high-impact events on the ground at our Atlanta venue. While embedded with the local Atlanta team, the role will report to a manager based in Los Angeles and collaborate regularly with cross-functional stakeholders across venues and departments nationwide, including teams in Los Angeles and other key markets.
As the Entertainment Event Coordinator, you'll play a key role in both the planning and execution of immersive, live, and private events. Core responsibilities include coordinating productions, managing event logistics, scheduling content, developing and maintaining run-of-show documents, securing and overseeing vendors and performers, and supporting premieres and marquee activations. The role also includes programming lighting and ensuring seamless integration of Cosm's live streams & entertainment content within the Dallas venue. Strong administrative, project management, and live event execution skills as well as clear communication and collaboration are essential for success.
Responsibilities:
  • Support day-to-day events, including scheduling, budgeting, vendor sourcing, and logistics management, with a focus on delivering exceptional guest experiences.
  • Collaborate with the Director and Manager of Sports Event Productions to plan and execute live sports programming and Look-In integrations at the Dallas venue, coordinating real-time timing, audio, lighting, and screen transitions with the dome operator team to align with national broadcasts, drive fan engagement, and uphold Cosm's brand standards.
  • Own end-to-end planning, production, and execution of all private events at the Cosm Atlanta venue, ranging from intimate client gatherings to large-scale brand activations. This includes managing complex run-of-shows and coordinating cross-functional stakeholders across departments such as product, sales, dome operators, IT, security, and venue operations to ensure seamless execution.
  • Own and maintain run-of-show documentation for the Atlanta venue, tailoring details to each event's specific needs and scale.
  • Create and present concept decks and event plans for internal and external stakeholders, effectively communicating creative direction and production strategy for private events, premieres, and themed activations.
  • Collaborate with technical teams to integrate and QC content into the venue, ensuring exceptional audio, visuals, lighting, FX, and immersive elements.
  • Provide hands-on support during client walk-throughs, production tests, and live event execution, offering feedback and documentation to maintain production quality and consistency.
  • Program lighting and atmospheric FX to enhance the visual experience of private and public events, supporting both creative vision and technical precision.
  • Work alongside the Sr. Entertainment Event Production Manager to plan and produce all types of events, from creative development through on-site execution.
  • Source, operate, and maintain production equipment (e.g., hazers, fog machines, snow machines) to support diverse event types-from private rentals to nightlife and premieres.
  • Oversee artist hospitality and logistics, managing rider requirements, scheduling, and backstage support to ensure a polished, professional experience for talent and guests alike.

Experience
  • Excellent verbal, written, and interpersonal communication skills, with ability to keep teams informed in a dynamic environment.

  • An understanding of entertainment, immersive storytelling, immersive technology, and digital and social media landscapes.
  • Experience with general lighting design and programming; knowledge of Mosaic is a plus.
  • Proficiency in creating and managing run of shows
  • Experience with content QC'ing, including managing related processes and workflows.
  • Strong experience organizing, scheduling, coordinating & executing live events
  • Problem solver with agile mindset and willing to roll up sleeves and jump in to help where needed
  • Proficient in Microsoft Office Suite (Excel proficiency is a must) and experienced with Notion and similar project management tools
  • Well-organized, resourceful, and able to thrive in a fast-paced and collaborative environment

Education
  • A Bachelor's degree in a relevant field such as Event Production, Entertainment Management, Media, Communications, or Business is preferred.
  • Consideration will be given to candidates with advanced education and/or equivalent professional experience that demonstrates the strategic, operational, and cross-functional leadership required for this role.
  • A strong track record of success in live event production, vendor and stakeholder management, and high-pressure execution environments.
