Position Summary

The Digital Marketing Coordinator reports to the Digital Marketing Manager, providing hands-on execution support across Indigenous Pact's digital marketing presence — owned, earned, and paid channels — as well as day-to-day marketing operations. This role calls for someone who can move between managing a project board in Asana and drafting a marketing email without either side suffering.

This role owns project management and intake for digital marketing requests, provides day-to-day HubSpot CRM and campaign support, executes social and email content, coordinates with contractors on production and delivery, and supports basic website updates and reporting — all under the direction of the Digital Marketing Manager.

Strong HubSpot experience, solid writing, and a knack for keeping things organized are the core of the job.

Core Responsibilities

Project Management & Intake

  • Manage Asana boards for digital marketing execution: tasks, assignment routing, deadline tracking, and status updates.
  • Run recurring status updates for active digital marketing work and flag risks or delays to the Digital Marketing Manager.

Content & Campaign Execution

  • Build and schedule email campaigns in HubSpot, including template population, basic copy edits, segmentation, and send scheduling.
  • Draft social copy and visuals alongside Marketing Coordinator in the organization's established brand voice.
  • Draft blog posts and basic website copy from provided briefs alongside Marketing Coordinator, and support sales enablement content (decks, one-pagers) from provided direction.

HubSpot CRM & Campaign Operations

  • Build and maintain HubSpot workflows, lists, and contact segmentation under the direction of the Digital Marketing Manager.
  • Maintain CRM data quality: contact hygiene, association management, list maintenance, and duplicate resolution.
  • Set up events and campaigns in HubSpot, including UTMs, contact association, and follow-up workflows.
  • Monitor reports and dashboards, flag issues, and suggest fixes.

Social Media Execution

  • Schedule and publish social content across LinkedIn, Facebook and YouTube according to the established content calendar.
  • Monitor social channels for comments and messages, escalating as needed, and track basic engagement metrics.
  • Research and source content for social in coordination with internal teams (event recaps, milestones, SME publications).

Contractor & Vendor Coordination

  • Alongside the Digital Marketing Manager, serve as the day-to-day coordination point and manage timelines for external digital marketing contractors.
  • Manage contractor timelines and deliverable tracking in Asana.
  • Route creative briefs, review requests, and approvals between stakeholders and contractors.

Analytics & Administrative Support

  • Pull and organize recurring performance reports across email, social, paid, organic, and website traffic using Google Analytics and native platform dashboards.
  • Track baseline KPIs across digital channels and note notable changes over time.
  • Maintain and organize digital marketing assets in SharePoint (Brand Hub, templates, campaign folders).
  • Support marketing SOP and process documentation upkeep.

Qualifications

Required

  • Bachelor's degree in Marketing, Communications, Business, or a related field, or equivalent professional experience.
  • 1–3 years of experience in digital marketing, marketing operations, or a similar coordination role.
  • Hands-on familiarity with HubSpot (CRM, Marketing Hub and Sales Hub) required — coordinator/execution level, including email builds, forms, lists, workflow support and reporting.
  • Proficiency with WordPress with Elementor and Squarespace.
  • Familiarity with social media management, scheduling, Meta Business suite, and understanding of social algorithms.
  • Proficiency with Asana or a comparable project management tool.
  • Solid writing — can draft emails, social copy, and blog/website content that needs light editing, not a rewrite.
  • Strong organizational skills with the ability to manage multiple projects and deadlines at once.

Preferred

  • Experience building and troubleshooting HubSpot workflows, automation logic, and list segmentation.
  • Hands on familiarity and experience with HubSpot CRM data management: imports, deduplication, and property configuration.
  • Familiarity with SharePoint, Microsoft 365, and collaborative file management.
  • Experience in marketing agency, healthcare, mission-driven, or nonprofit marketing environments.
  • Prior experience with or exposure to Indigenous, Tribal, or Native American communities.
