Position Summary

The Digital Asset & Multimedia Specialist is responsible for both the creation and management of GSOC's visual and digital content. This role produces high-quality graphic design, video, and social media assets while also building and maintaining a centralized digital asset system that enables efficient workflows, strong storytelling, and increased organizational impact.

This position serves as the central hub for creative intake and production, managing all incoming creative requests and ensuring work is prioritized, on-brand, and aligned with organizational goals. The role also develops scalable solutions-including templates and asset libraries-to empower staff and volunteers, reduce inefficiencies, and support organization-wide initiatives.

This role provides creative support for key organizational events, including presentation development and on-site execution, and ensures high-quality content capture to support ongoing storytelling and fundraising efforts.

This position is ideal for a creative and systems-oriented professional who can execute day-to-day design needs while building processes that elevate the organization's marketing, communications, and fundraising efforts.

Essential Responsibilities/Activities:

Graphic Design & Multimedia Production

  • Design marketing collateral including flyers, reports, signage, presentations, sponsorship decks, merchandise including patches, and event materials.
  • Develop event presentations (slideshows, videos, and visual content) and support on-site execution, including running presentations as needed.
  • Create digital assets for email, website, social media, and organization-wide initiatives.
  • Develop branded templates (Microsoft, Canva, and Adobe) for cross-functional use.
  • Produce and edit short-form videos, reels, and simple animations.
  • Ensure all creative output is high-quality, on-brand, and aligned with organizational messaging.

Digital Asset Management & Systems

  • Build, organize, and maintain a centralized digital asset library, including photography, video, brand assets, and templates.
  • Develop and enforce naming conventions, tagging structures, and file organization systems.
  • Ensure assets are easily searchable and accessible across the organization.
  • Archive outdated or unused assets and maintain a clean, high-quality library.

Creative Intake, Ticketing & Workflow Management

  • Serve as the primary point of contact for all creative requests across the organization.
  • Partner with internal stakeholders to clarify scope, deadlines, and objectives.
  • Maintain visibility into all active projects and communicate timelines and status updates.
  • Identify trends in requests and implement solutions that improve efficiency and reduce repetitive work.

Template & Self-Service Enablement

  • Develop and maintain a library of branded, user-friendly templates for common organizational needs.
  • Empower staff to self-serve basic design needs while maintaining brand consistency.
  • Provide guidance and training on how to access and use templates and digital assets.
  • Continuously identify opportunities to streamline workflows and reduce low-value, repetitive requests.

Social Media & Content Execution

  • Support execution of social media content across platforms
  • Collaborate on content planning and ensure visual consistency across channels.
  • Monitor engagement and respond to messages or comments in brand voice as needed.
  • Optimize content for performance and engagement.

Content Capture & Event Support

  • Attend key events, programs, and activations to capture high-quality photo and video content.
  • Photograph and/or film events, interviews, and program activities for use in marketing, fundraising, and communications.
  • Ensure priority coverage of major organizational moments and campaigns.
  • Organize, edit, and upload event content into the digital asset system in a timely manner.
  • Support event communications and creative needs before, during, and after events.

Brand Governance & Training

  • Maintain brand consistency across all communications.
  • Support development and distribution of brand guidelines and templates.
  • Train staff and partners on brand standards and asset usage.

Other Duties and Special Projects as Assigned

  • Contribute to a collaborative, high-performing team environment.
  • Support organizational priorities and special initiatives as needed.

Qualifications

Experience & Education

  • 2–4 years of experience in graphic design, multimedia production, or digital content management
  • Bachelor's Degree preferred
  • Experience creating content for digital platforms and understanding of best practices

Required Skills & Abilities

  • Proficiency in Microsoft Office, Canva, and Adobe Creative Suite (Photoshop, Illustrator, InDesign); video editing tools required
  • Strong visual storytelling ability and attention to detail
  • Experience organizing digital files or working within asset management systems preferred
  • Strong organizational and time management skills
  • Ability to manage multiple projects and priorities in a fast-paced environment
  • Strong communication and collaboration skills across teams
  • Self-starter with the ability to build systems and improve processes
  • Proficiency in Microsoft Office Suite and SharePoint

  • Bilingual ability is a plus
