Operations & Recruiting Support Assistant
Position Summary
KeenLogic is seeking a highly organized and adaptable Operations & Recruiting Support Assistant to support day-to-day business operations, recruiting activities, contractor management, and internal administrative functions. This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and is eager to contribute across multiple areas of the business. The position will primarily support operations and recruiting efforts, while also assisting with proposal-related tasks as needed.

Key Responsibilities
Recruiting Support
  • Conduct initial candidate screening calls and pre-qualification interviews.
  • Review resumes and identify qualified candidates for open positions.

  • Track candidate progress throughout the recruiting lifecycle.
  • Maintain recruiting trackers, candidate databases, and applicant records.

Operations & Administrative Support
  • Review payroll submissions and assist with timesheet compliance tracking.
  • Maintain and update internal trackers, dashboards, reports, and operational documentation.
  • Ensure recruiting, onboarding, contractor, and proposal data is accurate, current, and properly maintained.
  • Organize and maintain SharePoint sites, file structures, and document repositories to ensure information is easily accessible and properly stored.
  • Perform data entry, auditing, and quality control reviews across internal systems and trackers.
  • Assist with creating, documenting, and improving internal processes, workflows, and standard operating procedures.
  • Identify opportunities to improve efficiency, organization, reporting, and team collaboration.
  • Support leadership with operational research, special projects, and process improvement initiatives.
  • Assist with developing new tools, templates, trackers, and reporting mechanisms to support business growth.
  • Ensure company records, employee documentation, and operational files are maintained in accordance with internal procedures.
  • Help create professional, organized, and scalable systems that improve visibility, consistency, and operational effectiveness across the organization.
