Position Summary
Crowley Nissan is seeking a highly organized, customer-focused, and detail-oriented Dealer Operations Assistant to support daily dealership operations. This position serves as a key link between our Sales, Service, Finance, Accounting, and Customer Experience teams, helping ensure smooth dealership operations while delivering an exceptional customer experience.

Essential Responsibilities
Customer Service & Concierge Support
  • Greet customers and visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls to appropriate departments.
  • Assist customers with general dealership inquiries.
  • Support customer follow-up activities and customer satisfaction initiatives.
  • Help create a positive and personalized customer experience throughout the dealership.
  • Coordinate communication with customers through phone, email, and text correspondence.

Administrative & Office Support
  • Perform clerical and administrative duties for dealership management and department leaders.
  • Maintain electronic and physical files, records, and documents.
  • Process customer paperwork accurately and efficiently.
  • Assist with scheduling, appointment coordination, and operational reporting.
  • Ensure dealership records comply with company policies and procedures.

Finance & Sales Support
  • Assist the Finance Department with deal processing and document preparation.
  • Coordinate with lenders and internal departments to ensure timely completion of financing transactions.
  • Verify customer information and ensure all required documents are complete.
  • Support sales and finance teams with administrative tasks related to vehicle deliveries and customer purchases.
  • Maintain confidentiality of customer and financial information.

Service & Cashier Operations
  • Process customer payments for service transactions.
  • Reconcile cash, checks, credit card transactions, and daily receipts.
  • Assist with rental vehicle documentation and customer agreements when needed.
  • Support Service Advisors and management with customer communications and operational tasks.
  • Maintain accurate records and reports related to service transactions.

Cross-Department Operations
  • Work closely with Sales, Service, Finance, Parts, and Accounting teams.
  • Assist with special projects, events, and dealership initiatives.
  • Promote a positive and professional image of Crowley Nissan at all times.
