Job description

Office Assistant

The Office Assistant will be responsible for the day-to-day operation and functionality of the Rise Brands home office. The Office Assistant will work closely with the Office Manager and each department, providing support and assistance to all team members as necessary. The right person for this role must be organized, flexible and reliable, as they may take on several different tasks at one time. The Office Assistant will create a vibrant atmosphere, bringing energy, creativity and innovative/positive thinking to the ongoing development and growth of the brand. This role will play an integral part in the organization and its success, as well as provide every guest with an outstanding first impression of who we are as a company.

Responsibilities:

  • Greet each guest as they enter the establishment with energy and enthusiasm, creating the ultimate guest experience.
  • Maintain the organization, appearance and cleanliness of the office at all times.
  • Confidently and professionally answer/screen all incoming calls; Be proficient in taking detailed messages when the designated team member is unavailable to retrieve the call.
  • Manage calendars, booking of the conference rooms and use of general office space.
  • Establish and maintain relationships with all delivery services (UPS, FedEx, etc.) Receive, sort and deliver all incoming mail and packages to the appropriate person.
  • Maintain inventory and order of all office and pantry supplies, anticipate office needs, evaluate new office products and expedite orders when necessary.
  • Provide outstanding support and service to all team members, vendors and suppliers on a daily basis.
  • Act as a point of contact for construction, cleaning, maintenance, parking, and landscape/plow services.
  • Ensure the security of the home office building, parking lot and surrounding areas by establishing safety protocols and maintaining the door lock/alarm system.
  • Plan, support and execute office events, team engagement activities and external gatherings; assist with internal communication.
  • Any other assigned job related tasks.

Required Knowledge, Skills and Abilities:

  • Highly adaptable and collaborative with a can-do spirit that works well under pressure; proactive, resourceful and efficient.
  • Exceptional written and verbal communication, research and organizational skills.
  • Strong organizational skills, with the ability to prioritize a large workload with exceptional accuracy and attention to detail.
  • Ability to successfully build and maintain a professional, yet positive rapport with team members, vendors and suppliers.
  • Proven experience working in a Mac environment; Proficient in Microsoft Office i.e. Word, Excel, PowerPoint.
  • Self-starter with the ability to multitask, problem solve and pay close attention to detail.
  • Flexibility to occasionally work outside of normal business hours to accommodate meetings and events.
