Job description

Overview

MG2, an affiliate of Colliers Engineering & Design is seeking an Office Assistant to work in our Mclean, VA office. The Office Assistant acts as the central point person to efficiently support daily office operations. The Office Assistant will manage office supplies, coordinate events (catered lunches and team gatherings), troubleshoot minor IT and AV issues, and partner with vendors and building management to maintain our workspace. This role will also handle parking passes, access cards, and facility maintenance while delivering exceptional customer service to employees and clients. This role will be expected to stay one step ahead by anticipating needs and proactively supporting office well-being. Occasionally will need to support our DC office. This person would also be a liaison for inter-office sustainability best practices.

Responsibilities
  • Support office operations and collaborate with leadership on office needs.
  • Manage office seating changes and furniture reconfigurations.
  • Organize and execute event setup, cleanup, and catering for all major office meetings.
  • Provide IT/AV support for onboarding, meetings, and events.
  • Assess facilities maintenance needs and coordinate repairs with vendors and contractors.
  • Request and coordinate building resources with property management.
  • Manage copier/printer services, supplies, and color calibration standards.
  • Coordinate IT issues on print servers and troubleshoot software problems.
  • Assist with preparing and shipping large architectural drawings and documents.
  • Order office and kitchen supplies; manage costs and special requests.
  • Oversee mailroom operations including USPS, FedEx, and delivery management.
  • Research and implement efficient vendor services with the Office Services Manager.
  • Support special projects and archiving initiatives, as directed by the Office Services Manager.
  • Manage front desk, access cards, and parking garage access needs.
  • Implement and maintain Health & Safety processes.
Qualifications
  • 2+ years of facilities or office management or related experience.
  • 2+ years of onboarding and offboarding employees.
  • Proficient in handling minor IT support and AV equipment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and quick to learn new software.
  • Dependable and professional demeanor, comfortable interacting with high-level clients.
  • Proven ability to handle multiple tasks simultaneously and prioritize urgent needs.
  • High level of attention to detail necessary for handling sensitive documents and contracts.
  • Experience with office furniture assembly and reconfigurations.
  • Must be able to lift 25+ pounds and work in-office full-time.
  • Familiarity with Architecture, Engineering, Construction industry preferred
  • Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.
