We are seeking a highly organized, creative, and relationship-driven Development & Marketing Coordinator to support our fundraising, donor engagement, marketing, communications, and community outreach efforts. This position is ideal for someone who enjoys balancing data management with storytelling, event planning, and building meaningful relationships with donors, sponsors, and community partners.

Position Summary

Reporting to the Director of Operations and Chief Executive Officer, the Development & Marketing Coordinator plays a key role in advancing the organization's fundraising and marketing initiatives. This position supports donor stewardship, database management, communications, grant support, community partnerships, and signature fundraising events while ensuring an exceptional experience for donors, sponsors, volunteers, and community members.


Duties and Responsibilities:


Donor Relations & Development
  • Build and maintain positive relationships with donors, sponsors, volunteers, and community partners.
  • Process and accurately record donor contributions.
  • Maintain donor records and perform regular database maintenance to ensure data accuracy.
  • Generate donor reports, mailing lists, and fundraising analytics.
  • Coordinate donor acknowledgments and thank-you correspondence in a timely manner.
  • Manage recurring donations and declined payment follow-up.
  • Assist with annual giving campaigns, direct mail appeals, and donor cultivation efforts.
  • Maintain the SMSC Donor Recognition/Acknowledgment Wall.
  • Prepare welcome packets for guests, donors, and new student families.
  • Reconcile donations, checks, and credit card transactions with the Accounting Department each month.
Marketing & Communications
  • Assist with the creation of brochures, invitations, newsletters, fundraising appeals, presentations, and promotional materials.
  • Draft and distribute email campaigns, fundraising communications, organizational announcements, and event promotions.
  • Gather participant success stories, photographs, and program updates to showcase organizational impact.
  • Help ensure consistent branding, messaging, and organizational voice across all print and digital communications.
  • Coordinate with graphic designers, printers, photographers, media outlets, and other vendors.
  • Support social media and marketing initiatives that increase community awareness and donor engagement.
Fundraising & Special Events

Support the planning and execution of SMSC's signature fundraising events, including:

  • Tea by the Sea
  • Morning Glory Brunch
  • Haute with Heart Fashion Show
  • Annual donor cultivation events
  • Community outreach activities

Responsibilities include:

  • Soliciting event sponsorships, vendors, auction donations, and participants.
  • Procuring in-kind donations for auctions and opportunity drawings.
  • Preparing sponsorship, vendor, and participant packets.
  • Assisting with event logistics, registration, volunteer coordination, and event execution.
  • Preparing post-event reports, donor recognition, and fundraising summaries.
  • Working occasional evenings and weekends for fundraising events.
Grants & Community Relations
  • Support the Grant Writer with proposal preparation, reporting, acknowledgment letters, and grant tracking.
  • Assist with maintaining grant deadlines and reporting schedules.
  • Coordinate community outreach initiatives and organizational representation at community events.
  • Prepare and deliver promotional baskets and materials for chamber events and community organizations.
Administrative Support
  • Coordinate Development Committee meetings and fundraising meetings.
  • Prepare agendas, meeting packets, invitations, minutes, and follow-up communications.
  • Reserve meeting space and coordinate refreshments.
  • Maintain confidential donor and organizational information.
  • Perform additional duties as assigned.
QualificationsRequired
  • Bachelor's degree in Marketing, Communications, Nonprofit Management, Business, Public Relations, or a related field, or an equivalent combination of education and experience.
  • Minimum of 2 years of experience in nonprofit development, fundraising, marketing, communications, or a related field.
  • Experience with donor database management and CRM software.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with mail merge and database reporting.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple projects and meet deadlines.
  • Ability to maintain confidentiality and exercise sound judgment.
Preferred
  • Experience with fundraising software such as Bloomerang, Raiser's Edge, DonorPerfect, or similar CRM platforms.
  • Experience coordinating nonprofit fundraising events.
  • Grant writing or grant administration experience.
  • Graphic design experience using Canva or Adobe Creative Suite.
  • Experience managing nonprofit social media and email marketing platforms.
