We are seeking a highly organized and proactive Office Coordinator to join our dynamic HVAC company. This role offers an excellent opportunity to be the backbone of our administrative operations, ensuring smooth daily functions and supporting our team in delivering exceptional service to our clients. 


Key Responsibilities:

-Manage and organize executive's calendar, scheduling meetings, appointments, and events.

-Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.

-Assist with preparation of reports, presentations, and other documents.

-Coordinate travel arrangements, including booking flights, hotels, and transportation.

-Organize and maintain confidential files and records.

-Serve as a liaison between the executive and internal/external contacts.

-Monitor and follow up on projects, tasks, and deadlines.

-Perform other administrative duties as assigned by the executive


Skills and Qualifications:

- Proven experience in office administration or coordination, preferably within the HVAC or construction industry

- Excellent organizational and multitasking skills

- Strong communication and interpersonal abilities

- Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with scheduling or CRM software
