Executive Assistant- Product Development

** This role can sit in either San Francisco, CA or Glendale, CA and is required to be on-site four days/week.**

What You Will Do:

Coordinate and perform a broad range of complex administrative, operational, and project support activities for senior leaders within Disney Entertainment & ESPN Product & Technology. Independently manage executive calendars, travel, communications, meetings, events, presentations, reporting, and department operations while maintaining the highest levels of professionalism, discretion, and attention to detail. Serve as a trusted partner to executive leadership, provide mentorship and guidance to fellow Executive Assistants, help establish and document team best practices, and deliver backup support across the executive assistant team as needed.

Responsibilities:
  • Manage complex executive calendars, including scheduling appointments, meetings, travel, registrations, and related logistics with minimal oversight.
  • Plan and coordinate large-scale meetings, programs, and events involving multiple stakeholders, international travel, technology requirements, accommodations, catering, and other logistical needs.
  • Serve as a primary point of contact for internal and external inquiries, exercising sound judgment in screening, prioritizing, redirecting, and responding to communications, including those of a highly confidential nature.
  • Draft and edit sensitive correspondence, communications, and materials requiring discretion, initiative, independent judgment, and knowledge of organizational priorities.
  • Support global travel needs, including collecting and processing documentation associated with visa applications.
  • Maintain office equipment, supplies, and inventory to ensure efficient day-to-day operations.
  • May represent the department in meetings and prepare briefing materials, presentations, and supporting documentation as needed.

Meeting & Project Support

  • Provide administrative and project coordination support for departmental initiatives, programs, and projects, including managing schedules, calendars, milestones, timelines, action items, deliverables, and stakeholder communications.
  • Coordinate program and project meetings and events, including presenter scheduling, registrations, accommodations, meeting materials, food and beverage arrangements, and other logistical requirements.
  • Manage small-scale projects and special assignments of moderate scope and impact, ensuring timely execution and follow-through.

Documentation & Reporting

  • Create, maintain, and distribute reports, presentations, proposals, spreadsheets, databases, dashboards, and other business materials using information compiled from multiple sources.
  • Analyze and track data trends and produce accurate reporting to support executive decision-making, planning, and operational effectiveness.
Required Qualifications:
  • At least five (5) years of executive or business support experience, including experience supporting senior executives in a fast-paced, high-pressure environment.
  • Mastery of Microsoft Office applications (Outlook, Word, PowerPoint, Excel).
  • Expert verbal and written communication skills with an ability to communicate at all levels within the organization.
  • Proven ability to work with confidential information, while exercising sound judgment and decision-making.
  • Demonstrated ability to prioritize, meet deadlines, make decisions and change course of action quickly.
Preferred Qualifications:
  • Working knowledge of Mac Operating Systems
  • Proficiency in Project Management tools such as Airtable, Smartsheet, or Asana
  • Proficiency with AI-powered productivity and workflow tools (e.g., Microsoft Copilot, Claude, or similar platforms).
Education:

Required: High school diploma

Preferred: College degree

The hiring range for this position in San Francisco, CA is $87,000.00 to $116,600.00 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
