Job description


This position is Administrative Assistant to the Clinical and Counseling Program Directors, and to other faculty in the Psychology Department. This position functions as the Graduate Assistant Coordinator to assist graduate students, graduate student related events, and provide other departmental support.
Responsibilities
Graduate Programs Coordinator:
  • Manage/implement departmental policies and procedures for current and future graduate students, ensuring compliance with Graduate School requirements and policies; serve as departmental contact for questions related to graduate program policies and procedures.
  • Primary contact for prospective applicants; manage information regarding applications.
  • Submit personnel actions for graduate students, including hires, assignment changes, additional pays, and terminations.
  • Work with students and ISSS to ensure proper work permissions are on file for international students.
  • Maintain tracking form for current students to ensure timely/correct submission of required forms, to support progress toward degree.
  • Coordinate yearly updates for Graduate Study in Psychology publication.
  • Coordinate three annual Visiting Days for potential students, and Fall Orientation for new graduate students, including development of Agenda, communicating with applicants, current students, and faculty members, purchasing/coordinating food and hotel accommodations.
  • Resource for class registration for graduate students using Banner system, confirming that students are appropriately registered for Program required courses; assist non-Psychology students wishing to register for graduate Psych courses.
  • Provide training for Psychology graduate students regarding timely and appropriate submission of Departmental and Graduate School forms; meet with students 3-4 times per year to provide training and support regarding Departmental and Grad School policies and procedures.

Administrative:
  • Provide administrative support to graduate program directors, including the director of the Experimental program and the directors for the American Psychological Association (APA) accredited Clinical and Counseling Programs.
  • Attend Clinical and Counseling faculty meetings, recording and maintaining meeting minutes as required by APA.
  • Prepare and distribute required forms for graduate students to provide data for faculty/student evaluations and for APA accreditation.
  • Confirm information needed for annual APA requirements for accreditation, providing statistical data for APA accreditation reports and site visits.
  • Compile forms (attendance, brochure, certificate, evaluation and summary) for Continuing Education workshops and disseminate data for APA when completed.

Data support:
  • Maintain database with historical information on graduate students from all programs.
  • Compile and provide data from student forms to Program Directors for Southern Association of Colleges and Schools (SACS) accreditation.
  • Compile student data for APA required student admissions reports, outcomes, and other data required for posting on the Departmental website and respective Program web pages.
  • Create efficiencies for data collection and management.

Required Qualifications
  • Education and Experience:
    • Bachelor's degree with 1 years of experience in an administrative position;
    • or High School Diploma with 3 years of experience in an administrative position
  • Knowledge, Skills, Abilities:
    • Knowledgeof Microsoft Office suite and Adobe
    • Ability to accurately manage detailed spreadsheets
    • Excellent administrative and organizational.
    • Excellent verbal and written communication skills.
    • Ability to work well with a diverse population of faculty, staff, students, and external constituencies.
    • Ability to work independently and as part of a team.
    • Strong decision-making skills.
    • Ability to develop and implement procedures.
