Role Definition:
The Interior Design Services Manager "IDSM" is responsible for maintaining the integrity of interior design throughout The Garlands entire campus. The IDSM works with new residents in preparing their unit and getting it ready for move in. This role collaborates closely with residents, leadership, architects, contractors, and cross-functional departments to deliver high-quality design solutions, ensure project completion, manage budgets, and enhance the overall resident experience. The IDSM is a primary link to the internal and external community, providing customer service, and building trusted and valued relationships.
Reporting Relationship:
  • Reports directly to the Chief Operating Officer.

Principle Accountabilities:
Resident Design Services
  • Consult with incoming residents to develop customized interior design plans that align with community standards and individual preferences.
  • Quotes upgrades, coordinates and oversees contractors, and manages all accounting work associated with upgrades.
  • Manage the scheduling, coordination, and execution of residential unit upgrades, ensuring projects are completed on time and meet quality expectations before move-in.
  • Coordinate move-in readiness through regular collaboration with Sales, Housekeeping, Maintenance, and other departments.
  • Works collaboratively with all Team Members and takes whatever action is necessary to provide the highest level of service to all Members and prospective Members of The Garlands.

Project Management & Construction Oversight
  • Partner with architects, contractors, and organizational leadership on renovation and special projects.
  • Oversee all phases of project execution, including furniture, fixtures, and equipment (FF&E) selection, design approvals, construction oversight, budget development, invoice review, and owner representation.

Project Management & Construction Oversight (Cont'd)
  • Monitor project progress to ensure compliance with design specifications, budgets, schedules, and quality standards.

Design & Facilities Enhancement
  • Maintain the visual integrity and aesthetic quality of all common areas throughout the community.
  • Responsible for recommending, ordering, purchasing and installing all furniture, fixtures and equipment throughout The Garlands related to interior design in the common area.
  • Source furnishings, artwork, accessories, and décor to support a welcoming and upscale environment.
  • Coordinates and oversees set up of exterior campus furniture in spring and storing all patio furniture in fall.
  • Design, plan, and execute large-scale seasonal and holiday décor installations and community displays.

Financial Management
  • Develop, administer, and monitor departmental operating and capital budgets totaling approximately $3 million.
  • Review project expenditures, invoices, and financial reports to ensure fiscal responsibility and adherence to approved budgets.

ADMINISTRATION
  • Maintains inventory of decorative items for use in common areas.
  • Maintains inventory of furniture and accessories in model units.
  • Maintains inventory of Certificate of Compliance and Occupancy.

FINANCIAL
  • Develop preliminary Interior budget annually. Maintain monthly budget providing budget summaries and variances, as necessary.
  • Negotiates with vendors, suppliers and contractors, the most competitive pricing available to a facility of this size and makes purchases within budget.
  • Recommends cost-saving opportunities.
  • Review and approves all invoices associated with costs within the Department.
  • Manages check book to track all purchases.
  • Upgrades: Invoice, collect checks, and supply accounting with close out documents.
