Primary Objectives of Position:

The Coordinator, Design & Development provides pre-planning program support to the Design & Development department and the Design Team. Specifically, the Coordinator proactively assists in developing proposals for all cities per clientsโ€™ request as well as product development. The Coordinator assists in the coordination, management and design of dรฉcor proposals as well as on-site support.

Major Areas of Accountability:

  • Place venue and vendor holds for programs during proposal development, updating Dynamics database with all holds and appropriate vendor information. Save all vendor confirmations and pertinent details in program folder
  • Create initial proposal shell based on RFP and included needs
  • Develop snippet proposals for all cities per clientsโ€™ request utilizing current tariff write-ups, photos and style sheets
  • Develop proposals with pricing that can be pulled directly from Tariff
  • Obtain information and costing for DCi destinations and additional locations as needed, including but not limited to, transportation, activities, venues, dรฉcor, entertainment, and teambuilding
  • Assist with sourcing new supplier vendors, including costs associated with each
  • Collaborate with team members to offer expertise of design and creativity
  • Scheduling vendor presentations and meetings for new and existing vendors, to include site visits and inter-office presentations
  • Update DCi systems (Dynamics, D&D Folders etc.) with new vendor info
  • Brainstorming creative proposal concepts with other team members
  • Maintain partnership and relationship with our existing supplier partners
  • Provide PTO coverage for Planners & Designers as needed
  • Attend industry events as needed to further education and knowledge
  • Continuously be on the cutting edge of events always incorporating fresh and new ideas into proposals and simultaneously sharing with other company team members

Knowledge and Skill Required

  • Bachelorโ€™s Degree or 2+ years equivalent experience in related field
  • Excellent oral/written communication skills
  • Basic computer skills โ€“ proficiency in Internet, Microsoft Office, Excel and Access
  • Creativity, strong communication and customer service skills
  • Extremely detail-oriented, with ability to handle multiple tasks & projects simultaneously
  • Ability to maintain a professional demeanor in all situations
  • Enthusiastic, hard worker, team player
