Role Overview 

We are seeking a Project Administrator to support project teams with essential administrative coordination, document control, and reporting functions on active construction projects. This role plays a key part in keeping project operations organized, accurate, and moving efficiently by supporting communication, tracking documentation, coordinating meetings, and assisting with project reporting and logistics. The ideal candidate brings prior experience supporting construction or technical project teams, thrives in a fast-paced environment, and is highly organized with strong attention to detail.


Responsibilities 

  • Provide administrative support to project managers, site leadership, and project teams 
  • Assist with document control, including tracking submittals, RFIs, change orders, meeting minutes, and project correspondence 
  • Maintain organized project files, logs, and reporting documentation 
  • Support scheduling and coordination of meetings, interviews, site visits, and project-related communications 
  • Prepare reports, spreadsheets, trackers, and other project support documents 
  • Help ensure timely flow of information between internal teams, clients, subcontractors, and vendors 
  • Assist with onboarding logistics, badging, timesheets, expense tracking, and other project administrative needs 
  • Monitor action items and follow up with stakeholders to help keep deliverables on track 
  • Support procurement and material/equipment tracking as needed 
  • Maintain professionalism and confidentiality while handling project-sensitive information 

Requirements

  • 3+ years of experience in a project administrative, project coordinator, or construction support role 
  • Prior experience supporting construction, engineering, mission-critical, or industrial projects preferred 
  • Strong organizational skills with the ability to manage multiple priorities at once 
  • Excellent written and verbal communication skills 
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook 
  • Experience with project management or construction platforms such as Procore, Bluebeam, Autodesk Construction Cloud, or similar is preferred 
  • Strong attention to detail and ability to work independently in a fast-paced environment 
  • High level of professionalism, responsiveness, and follow-through
