What does a defense project scheduler do?

A Defense Project Scheduler is responsible for creating, maintaining, and analyzing project schedules for defense-related programs. They use specialized software to track project timelines, coordinate with various teams, and ensure that milestones are met according to government or military requirements. Their work helps ensure projects stay on track, resources are allocated efficiently, and any potential delays are identified early. They often work closely with project managers, engineers, and other stakeholders to keep complex defense projects organized and on schedule.

What are some typical challenges a defense project scheduler faces when coordinating complex project timelines?

A Defense Project Scheduler often contends with managing shifting priorities, integrating inputs from multiple stakeholders, and accommodating evolving requirements due to regulatory or mission changes. Balancing strict deadlines with the need for flexibility requires strong communication and organization skills, as schedules must frequently be updated to reflect new developments. Additionally, working within secure environments and ensuring compliance with government standards can add complexity to daily tasks, making collaboration and attention to detail essential for success.

What are the key skills and qualifications needed to thrive as a defense project scheduler, and why are they important?

A Defense Project Scheduler needs expertise in project management, scheduling methodologies (such as Critical Path Method), and familiarity with defense industry standards, often supported by a relevant degree and experience in government contracting. Mastery of scheduling tools like Microsoft Project or Primavera P6, and sometimes certifications like PMI-SP, are typically required. Strong analytical thinking, attention to detail, and effective communication are vital soft skills for collaborating with cross-functional teams and managing complex timelines. These abilities are crucial to ensuring project milestones are met, risks are mitigated, and contractual obligations are fulfilled in high-stakes defense environments.

How can I become a defense project scheduler?

To become a defense project scheduler, typically a candidate needs a bachelor's degree in engineering, project management, or a related field, along with experience in scheduling tools like Microsoft Project or Primavera P6. Certifications such as PMI Scheduling Professional (PMI-SP) can enhance job prospects, and familiarity with defense contracting processes and security clearances may be required. Strong organizational, communication, and analytical skills are essential for success in this role.

Is a defense project scheduler a good career?

A defense project scheduler is a valuable role responsible for planning and tracking project timelines in defense or government contracting environments. It typically requires skills in project management tools, scheduling software, and knowledge of defense regulations, offering stable employment and opportunities for advancement. The role is suitable for individuals interested in logistics, planning, and working on complex, high-stakes projects.

Job description

Job Title: Project SchedulerJob Description

The Project Scheduler will own all scheduling activities across complex engineering and manufacturing programs in a highly regulated, nuclear-grade environment. You will develop and maintain resource-loaded and cost-loaded schedules in Oracle Primavera P6, partnering closely with engineering, procurement, fabrication, quality, and project management teams. This role offers the opportunity to become the scheduling subject matter expert, directly influence high-visibility programs, and broaden your exposure to project controls, earned value management, and customer-facing scheduling in advanced technology settings.

Responsibilities
  • Develop, maintain, and update detailed project schedules using Oracle Primavera P6, ensuring they are both resource-loaded and cost-loaded.
  • Create integrated CPM (Critical Path Method) timelines that align engineering deliverables, procurement activities, fabrication timelines, quality milestones, and customer requirements.
  • Identify and manage critical path activities, forecast potential delays, and support the development and execution of schedule recovery plans.
  • Perform schedule analysis, including variance reporting, schedule health checks, and milestone tracking to support project performance and decision-making.
  • Coordinate project schedules with customer master schedules to maintain alignment on key dates, milestones, and deliverables.
  • Support project controls functions by tracking schedule performance, variances, and milestones, and assist with earned value management (EVM) reporting when required.
  • Build executable schedules that accurately forecast staffing needs, labor allocation, and project costs, ensuring realistic resource and cost loading.
  • Independently own and manage multiple project schedules with minimal training, delivering immediate productivity and reliable schedule data.
  • Collaborate closely with engineering, procurement, fabrication, quality, and project leadership teams to gather inputs, validate assumptions, and maintain schedule integrity.
  • Prepare and present schedule updates, forecasts, and progress reports to internal stakeholders and external customers in a clear and professional manner.
  • Use Microsoft Excel and Microsoft Project to support scheduling, reporting, and data analysis activities as needed.
  • Contribute to continuous improvement of scheduling processes, tools, and standards within a growing advanced technology organization.
Essential Skills
  • Strong, hands-on experience with Oracle Primavera P6, with the ability to build and maintain resource-loaded and cost-loaded schedules with minimal training and immediate productivity.
  • Proven ability to independently create, maintain, and own CPM schedules from Day 1, without extensive onboarding or supervision.
  • Experience supporting engineering, manufacturing, industrial, defense, energy, construction, or other technical project environments.
  • Demonstrated experience performing schedule analysis, forecasting, and variance reporting in complex project settings.
  • Proficiency in developing integrated project timelines and identifying critical path activities to support schedule risk management and recovery planning.
  • Solid understanding of project controls concepts, including schedule performance, milestones, and schedule health metrics.
  • Proficiency with Microsoft Excel for data analysis, reporting, and schedule-related calculations.
  • Proficiency with Microsoft Project for scheduling and timeline management.
  • Ability to communicate effectively with internal stakeholders and external customers, translating complex schedule information into clear, actionable insights.
  • Ability to work 100% onsite in Lafayette, CO.
  • Eligibility to work on regulated technical programs that may require U.S. citizenship.
Additional Skills & Qualifications
  • Bachelor’s degree in Engineering, Project Management, Construction Management, or a related technical field.
  • Experience in nuclear industry projects or nuclear-grade manufacturing environments.
  • Experience supporting defense or government projects, including DOE or DOD programs.
  • Exposure to earned value management (EVM) practices and reporting.
  • Knowledge of NQA-1 quality requirements and related nuclear quality standards.
  • Familiarity with NRC 10 CFR 50 Appendix B requirements and regulated project environments.
  • PMI-SP (Project Scheduling Professional) certification.
  • AACE PSP (Planning & Scheduling Professional) certification.
  • Advanced scheduling experience using Microsoft Project, including complex project structures and resource management.
  • Experience working in highly regulated technical environments such as manufacturing, defense, energy, or industrial facilities.
  • Ability to become a scheduling subject matter expert and provide guidance to project teams on best practices.
  • Comfort working in customer-facing scheduling roles, including coordination with customer master schedules and participation in program reviews.
  • Flexibility to leverage strong Microsoft Project scheduling experience where Primavera P6 skills can be further developed, with Primavera remaining the priority tool.
Work Environment

This is a full-time, onsite role based in Lafayette, CO, within a primarily office setting that supports advanced engineering and nuclear-grade manufacturing programs. You will work closely with a team of approximately 100 onsite employees and collaborate regularly with engineering, procurement, fabrication, quality, and project leadership. While most work is desk-based and computer-intensive, there will be occasional visits to manufacturing and fabrication areas where you may be exposed to fabrication equipment, noise, welders, electrical equipment, chemicals, fumes, dust, and varying temperatures. Appropriate personal protective equipment (PPE) may be required when entering these areas, in alignment with safety protocols. The environment is fast-paced and highly regulated, offering direct impact on high-visibility programs and significant opportunities for professional growth in project controls and scheduling.
