Role Overview:

As the Payroll Specialist, you will be a key player in our finance department, responsible for the comprehensive management of our US payroll function, as well as contributing to general accounting, accounts receivable, and accounts payable processes. You will oversee all aspects of payroll processing, compliance, and reporting across our six sites and remote employees in various states. Your expertise will be critical in ensuring accurate payroll, adherence to all applicable regulations, and providing essential support to our financial operations. This position will process payroll for approximately 230 employees and actively assist with AR/AP and general accounting tasks.

Key Responsibilities:


Payroll Processing & Management:

  • Oversee the accurate and timely processing of payroll for all US sites and remote employees.
  • Manage workflow to ensure all payroll transactions are processed efficiently.
  • Execute time sheet and attendance processing, interfacing seamlessly with payroll systems.
  • Process manual checks as needed.

Compliance & Reporting:

  • Ensure compliance with all federal, state, and local payroll regulations, including those related to final pay, overtime, double-time, meal premiums, and unclaimed property.
  • Process garnishments, levies, and other involuntary deductions accurately and in compliance with legal requirements.
  • Manage state and federal tax filings, including quarterly and year-end reconciliations.
  • Prepare and file voluntary deduction reports.
  • Generate accurate and timely year-end reporting (W-2s, etc.).
  • Develop ad hoc financial and operational reports for senior management.
  • Understand and apply proper taxation of employer-paid benefits.

General Accounting, Accounts Receivable, and Accounts Payable:

  • Assist in general ledger reconciliations and month-end close procedures.
  • Process and manage accounts payable invoices, ensuring timely and accurate payments.
  • Manage accounts receivable, including invoicing, payment tracking, and collections.
  • Assist in the preparation of financial statements and reports.
  • Maintain accurate records of financial transactions.
  • Assist with bank reconciliations.

Vendor & System Management:

  • Manage vendor transactions related to flex spending, 401(k), and other benefit programs (via HRIS and EDI feeds).
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Update and reconcile monthly bank statements.

Problem Solving & Communication:

  • Research and resolve payroll, accounting, AR, and AP-related issues, ensuring accuracy and efficiency.
  • Liaise with service providers to address and resolve related matters.
  • Communicate effectively with HR, accounting, and other departments to ensure alignment on financial matters.
  • Research and email appropriate audience of file issues.

Process Improvement & Documentation:

  • Document and update payroll, accounting, AR, and AP procedures to ensure accuracy and efficiency.

Requirements

Qualifications:

  • Minimum of 5 years of hands-on experience as a Payroll Specialist or in a similar role, with demonstrated expertise in multi-state payroll processing.
  • Strong knowledge of federal, state, and local payroll laws and regulations.
  • Proficiency with payroll software and HRIS systems.
  • Solid understanding of general accounting principles and practices.
  • Experience with accounts receivable and accounts payable processes.
  • Excellent analytical, problem-solving, and organizational skills.
  • Exceptional attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to work independently as well as collaboratively in a team environment.
  • Multi-state payroll processing experience is required.
