Job Summary:

The Office Manager is responsiblefor providing accounting, cash management, administrative, and payroll supportto the dealership.  The Office Managerworks closely with the General Manager and dealershipas management teams to tackleday-to-day dealership operations and activities.  The Office Manager is proactive, worksindependently with limited supervision, and continually seeks opportunities tomake an impact on the organization's efficiencies. 

Job Responsibilities:

A        Analyzes and organizesoffice operations and procedures

A        Hires, trains, and supervises officepersonnel

  • Assists the HR Department in onboarding new employees

A         Controls all posted documents, includingtime records, vehicledeals, commissions and additions and changes to inventory

A        Prepares daily bank deposit and cash report

A        Maintains an effectivecash management system and accurately forecasts cash needs

A        Controls petty cash amounts for dealership and sales department

A        Provides a timelydaily performance report(DPR) and keepsthe dealer/general manager informed about trends

A        Reconciles select accountsmonthly

A        Approves adjustments to inventory and receivable accountsas appropriate

A        Ensures that all manufacturer accountsincluding warranty claims, rebates, interest, protection, andco-op advertising accounts are current and accurate

A        Prints monthly journals,schedules and generalledger. Closes month by processing accounting month-end

A        Assists in completion of annual review/audit

A        Ensures compliance with all government regulations

A        Prepares payroll on a timelybasis, posts payrolland maintains payroll records

A        Prepares tax reports,tax deposits and tax returnsin a timely, accurate manner

A        Stays abreast of current factoryincentives and codesdeliveries on dealership computersystem accordingly

A        Administers charge-back program

A        Manages the payoff of vehiclefloor plan and works with bankrepresentatives

A        Compiles information and prepares reportsas requested by management and/or dealer principal

A        Attends management meetings as requested

A        All other duties assignedby management

Job Requirements:

 

A        Prior Automotive /Power sports Accounting experience required

A        Bachelor's degree (B.A.) or Associates Degree with minimum of 2years of accounting/ finance experience preferred

A        Payroll preparation andreporting experience required

  • Solid computer skills (Excel, Word, Outlook, PowerPoint)
  • Must have advanced problem solving and analytical skills
  • Prioritizes and completes tasks with a concern for all the details involved; monitors and checks work for accuracy
  • Must be self-directed and effective working independently, yet equally comfortable contributing in a team environment
