Position Summary:This position provides analytical and operational support as it relates to all phases of practice integrations as well as Revenue Cycle performance and reporting. Areas of accountability include adaptation and implementation of EMA, AdvancedMD, Flexscan, Phreesia, and other systems utilized including configuration and training with respect to both systems. This position will work in conjunction with the operations team to ensure effective operations of all practices.

EssentialDutiesandResponsibilities:
  • System Optimization:Assist in analyzing current systems and processes, identifying areas for improvement, and working with key stakeholders to implement system enhancements.
  • Coding Improvement & Optimization:Work closely with providers to ensure appropriate documentation and coding and effective utilization of EMA coding protocols.
  • Training & Support:Develop,deliver,andmaintaintrainingprogramsforemployeesinthefield.Ensurethat training materials are clear, relevant, and easy to understand.
  • On-boarding Providers:EnsureallProvidersaresuccessfullyon-boardedwiththenecessaryaccessandhave a foundational understanding of our EMR system.
  • Workflow Analysis:Workcloselywithteamstoidentifyinefficienciesincurrentworkflows,propose solutions, and help implement improvements.
  • On-the-Ground Support:Travel to field locations as needed to provide hands-on training and support, ensuring that employees are well-equipped to utilize the system effectively. This includes working side by side with providers on the clinical side as it relates to appropriate documentation and coding.
  • Documentation:Createandmaintainusermanuals,standardoperatingprocedures,andotherrelevant documentation to ensure a smooth training and support process.
  • Collaboration:PartnerwithITandoperationsteamstoensuresystemchangesalignwithorganizational goals and improve efficiency.
  • Feedback Loop:Gatherfeedbackfromusersonsystemperformance,issues,andtrainingeffectiveness,and work to make adjustments as necessary.
  • Continuous Improvement:Staycurrentwithnewtechnologyandsystemadvancementstocontinuously improve processes and systems.
  • Systems Configuration –Creatingandupdatingfilestoconfigurationforallsystemsutilizedandmaintaining change logs for each as appropriate.
  • IT Support Tracking –Workswithvendorstoresolvesystemissuesbyopeningticketsorenhancement requests and tracking them through completion.
  • Reporting –Abilitytonavigateandcreatereportswithineachsystemtobeutilizedbyvariousoperations team members as needed or requested.

  • Is a subjectmatterexpert in the area of clinical operations, documentation, and coding.
  • Supportchangeandthedevelopment,interpretation,implementationandevaluationofprocess improvement and quality management activities.
  • Identify/recommendoperationalimprovementsasnecessary
  • Assistinon-sitevisitstotrain,educate,andassessallpracticestaffasneeded. Primary responsibility for provider training.
  • SuperUserforEMAandAdvancedMDtoincludesupportofthefollowingtasks:
    • PeriodicallymakingsureallAMDproductchargecodesareinFSMDandviceversa
    • Validatingthatadminaccessisappropriatelylimited
    • SettingthecorrecttimezoneandemailaddressforallEMAusers
    • ImplementingtheKioskfunctionalityacrossallpractices
    • Implementingpatientportalfullfunctionalityacrossallpractices
    • Trainingfornewstaff
    • Retrainingforexistingstaff
    • Documentingandtrackingsupportissuesandenhancementrequests
      • Requestingnewprovider/staffaddstosystems
    • Responsibleforrunningandanalyzinganalyticalreportstosupporttheoperationsteam.
  • Developinganddeliveringtrainingprogramsinbothin-personandvirtualformats.Mustbeableto provide clear and concise training both in person and remotely.
  • Trackinglicensenumbersforeachpracticeandensuringtheyareestablishedandtermedtimelyas appropriate. This must remain accurate for invoice reconciliation purposes.
  • Other duties as assigned.
Educationand/orExperienceRequirements
  • Bacheloregreepreferred.Managementorsupervisoryexperiencepreferred.
  • Coding certification required.
  • Fiveyearsxperienceinamedicalofficesetting;preferablydermatology.
  • Experience being “at the elbow” with providers and working through system issues and optimization.
Knowledge, Skills and Abilities Requirements
  • Minimumofthree(3)yearsxperienceinphysicianoperationspreferred.
  • Experiencecollaboratingwithalllevelsofleadershipwithinanorganization
  • Provenverbal,quantitative,financial,andinterpersonalskills
  • Demonstrableandeffectivecommunicatoratalllevels
  • In-depthandup-to-dateknowledgeofmedicalpracticerevenuecycleoperations.
  • Abilitytotravelupto80%,andcouldbe100%whennecessary.
  • Excellenthumanrelationsandcommunicationskills.
  • Mustpossessdependabilityandcommitmenttothecompanymissionandvision.
  • High adaptability to different environments and workflows.
