Job description

Position Title: Customs Compliance Specialist Location: Newark, NJ Duration: 6 months
Schedule/ Remote Flexibility: remote for the right candidate Work Hours: 9-5pm ET, 30min lunch, or 9-5:30 ET, 1hr lunch Hours Per Week: 37.5
Manager Intake Notes :

  • The type of work would be Request entry packets from brokers Save, maintain and markup entry packets and upload them to outside counsel's website
  • Analyze entry packets and validate the correct part#, quantity, country of origin, shipper, commercial invoice number and values and other information and update outside counsels spreadsheet
  • Provide stats and discuss weekly output with project team
  • Supporting the weekly meetings with reports on the status of the ongoing sampling

Position Summary

  • The Customs Compliance Specialist supports the day-to-day operational integrity of the company's US and Canadian import/export compliance program.
  • This role is responsible for accurate, timely data entry and reconciliation across brokerage, carrier, and government portals (including FedEx, UPS, ACE, and CARM), maintaining classification and recordkeeping systems, and flagging exceptions for review.
  • Success in this role depends on strong data entry accuracy, comprehension of supply chain and customs regulations, organizational discipline across multiple concurrent workstreams, and sound analytical judgment along with a genuine interest in growing within Customs compliance.


Key Responsibilities US Imports Support

  • Inbound Report
  • Record daily new shipment information from pre-alerts and inbound reports.
  • Monitor exceptions and daily holds.
  • Monitor and maintain ISF filing information for ocean shipments.
  • Update brokerage billing information using brokers' portals.
  • Perform track-and-trace research as needed.
  • Duty Accruals / Payments Support
  • Record entry information from brokers' portals, and validate against PPNDA's reporting from ACE portal.
  • Add daily and monthly statement information.
  • Reconcile information twice a month.


US Exports Support

  • Outbound Report
  • Record export information from correspondence between the order team, warehouse, carriers, broker's Export team, and the Canadian broker.
  • Update shipping information.


Canadian Imports Support Inbound Report

  • Record shipment information from carrier and Canadian broker reporting, validated against PPNDA's CARM.
  • Monitor exceptions.
  • Update brokerage billing information.
  • Perform track-and-trace research as needed.
  • Duty / GST Accruals / Payments Support
  • Record release information from broker reporting and correspondence, validated against CARM.
  • Add billing information.


Classification Database

  • Support determination of correct classification.
  • Monitor declarations and maintain Section 232-specific tariff information, using available reporting and factory correspondence.
  • Maintain the OGA/PGA database.
  • Record and maintain classification updates.


Recordkeeping US Imports & Exports

  • Rename and file shipping documents for US imports and exports (invoices, bills of lading, arrival notices, delivery orders, PODs).
  • Download, rename, and file US entry documents and export declarations where applicable.
  • Canadian Imports Documentation
  • Rename and file release declarations.
  • Rename and file Canadian entry packets and brokerage billing records.
  • Classification Documentation
  • Rename and file classification declarations.
  • Rename and file FDA letters.
  • Rename and file other OGA/PGA declarations.


Required Qualifications

  • Demonstrated accuracy and attention to detail in high-volume data entry.
  • Strong reading comprehension, able to extract accurate data from emails, portals, and reports across multiple formats.
  • Strong organizational skills; able to manage multiple concurrent, deadline-driven workstreams.
  • Solid analytical skills; able to identify exceptions, discrepancies, and reconciliation issues.
  • Proficiency with Microsoft Excel and standard office software. SAP experience a plus.
  • Clear, professional written communication for cross-functional coordination (order team, warehouse, carriers, brokers).
  • Desire and potential to grow into broader trade compliance responsibilities.


Preferred Qualifications

  • Prior exposure to US import/export operations or customs brokerage.
  • Familiarity with US CBP ACE portal and/or Canadian CBSA CARM portal.
  • Familiarity with carrier/brokerage portals (FedEx, UPS, or similar).
  • Experience in US HTS classification, ISF filing, Section 232 tariffs, or OGA/PGA requirements (FDA, etc.), as well as Schedule B, ECCN, Canadian HTS classification.
  • Licensed Customs Broker preferred.
  • Bachelor's degree in supply chain, international business, or related field, or equivalent practical experience.

Compensation:
The hourly rate for this position is between $28.00-$32.00 per hour.
