ABOUT THE ROLE:
As a Documentation Control Specialist at SpaceXAI, you will be responsible for managing and maintaining the integrity of all technical documentation across our data center construction, engineering, and operations projects. You will implement and oversee document control processes that ensure accuracy, traceability, version control, and compliance with internal standards and industry regulations. Working closely with engineering, construction, project management, and quality teams, you will play a key role in enabling fast, organized, and error-free execution of SpaceXAI's ambitious infrastructure buildout.
RESPONSIBILITIES:
  • Manage the full lifecycle of project documents including engineering drawings, specifications, submittals, RFIs, change orders, test reports, quality records, permits, as-built drawings, and operations & maintenance manuals.
  • Implement and maintain document control processes using Aconex, Procore, Bluebeam, SharePoint, and other EDMS platforms.
  • Perform advanced document markup, review, and collaboration using Bluebeam Revu while enforcing version control, numbering, and revision tracking.
  • Process incoming and outgoing documents: review for completeness, register, distribute via transmittals, and track approvals from internal teams and external stakeholders.
  • Support regulatory compliance by organizing and maintaining all permits, environmental assessments, safety documentation, and records required for power plant and datacenter operations.
  • Generate status reports, dashboards, and metrics in Procore and Aconex for project leadership.
  • Facilitate audits by providing quick and accurate access to controlled documents and records.
  • Continuously improve document control workflows and train project team members on Aconex, Procore, and Bluebeam best practices.
BASIC QUALIFICATIONS:
  • 3+ years of experience in Document Control, preferably in construction, data centers, manufacturing, or engineering environments
  • Strong knowledge of document management systems and best practices
  • Excellent organizational skills with high attention to detail
  • Proficiency with Microsoft Office, SharePoint, and common document control platforms
PREFERRED SKILLS AND EXPERIENCE:
  • Experience with Procore, BIM 360, Autodesk Construction Cloud, or similar tools
  • Background in data center, industrial, or mission-critical facility projects
  • Familiarity with engineering documentation standards (e.g., ISO 9001, document numbering systems)
  • Experience supporting fast-paced, high-growth technology or construction environments
  • Associate or Bachelor's degree in Business Administration, Engineering Technology, or related field
ADDITIONAL REQUIREMENTS:
  • Ability to work onsite in Memphis, TN / Southaven, MS area
  • Strong communication and interpersonal skills
  • Comfortable working in a dynamic, rapidly scaling organization with evolving processes
