THE ROLE:
The Contract Specialist will be primarily responsible for a portfolio of company contracts, for which they manage contract events, price increases, renewals, contract close-outs, bid review, preparation, and submittal, database management, and reporting. The Specialist will provide contract compliance support related to contracts by maintaining files, responding in an informed and timely fashion to contractual questions and requests for assistance, and accurately capturing contract data and milestones.
THE JOB:
  • Be responsible for a portfolio of contracts; managing contract events, quarterly reporting, renewals, price increases, and contract close-outs. Primary functions will include bid reviews, preparation and submittal, database management, and reporting.
  • Monitor and capture incoming bids received through municipal and state procurement vehicles as well as from various bidding platforms. Review all bids of interest and inform all appropriate parties with all pertinent information related to the bid.
  • Handle all municipal and state registrations and bid network registrations as well as the maintenance of the registrations and sites ensuring that commodity codes are maximized and login information noted appropriately.
  • Administrative tasks related to contracts across all functionals areas.
  • Monitor and track upcoming contractual actions and deadlines.
  • Maintain contractual records and documentation such as, bid, bid submission, price lists/spreadsheets, contracts, and amendments.
  • Responsible for assuring that all information regarding status of contract actions is saved in the system.
  • Respond to contractual queries/communications both internally and externally, with responsibility for timely and accurate responses.
  • Provide reporting to Team Leader on contract renewals, price increases, expirations, customer required reporting, etc.
  • Draft documentation supporting contract modifications including the exercise of renewals, price increases, and contractual closeout.
  • Review and summarize contracts, identifying targeted contract language and provisions.
  • Notify functional areas of upcoming actions and assist in the communication of contract specifics as needed.
  • Provide internal and external support on bids, RFP’s RFQ’s, and other solicitations as needed. May require summarizing of opportunity, identifying key business requirements and ensuring company pricing objectives are met.
