Job description

Koch Air, LLC has been focused on the distribution of quality Carrier residential and commercial products since 1936, and is among the oldest and largest Carrier distributors. Today, Koch Air, has fifteen branch locations, 40 delivery vehicles, and more than 350,000 square feet of equipment and parts warehousing throughout the Midwest.
The Marketing Support Coordinator provides administrative and project coordination support for the company's marketing initiatives within an HVAC distribution organization. This role helps organize dealer marketing programs, promotions, events, and co-op administration while ensuring projects are completed accurately and on schedule. The ideal candidate is highly organized, enjoys working with details, and is comfortable managing multiple assignments in a collaborative, fast-paced environment. Training will be provided on company marketing programs, dealer co-op processes, and internal systems.
Key Responsibilities
Marketing Program Support
  • Assist with the coordination and day-to-day administration of marketing programs, dealer promotions, and marketing initiatives.

  • Help prepare and distribute marketing communications, promotional materials, and program information.

  • Maintain marketing calendars, schedules, project timelines, and supporting documentation.

Co-op & Program Administration
  • Process dealer co-op submissions by reviewing documentation for accuracy and compliance with program guidelines.

  • Maintain Excel spreadsheets and internal records to track co-op accruals, balances, reimbursements, and program activity.

  • Communicate with dealers and internal team members regarding co-op processes, approvals, and required documentation.

Event & Meeting Coordination
  • Assist with coordinating dealer meetings, training events, trade shows, and incentive trips.

  • Coordinate registrations, hotel rooming lists, travel arrangements, agendas, and vendor logistics.

  • Provide event support before, during, and after events as needed.

Data Management & Reporting
  • Maintain Excel spreadsheets used to track marketing programs, budgets, event participation, and other marketing activities.

  • Prepare routine reports and summaries for the marketing and sales teams.

  • Ensure marketing records and data are accurate, organized, and up to date.

Team Collaboration
  • Work closely with sales teams, vendors, and internal departments to support marketing activities and dealer programs.

  • Respond to requests in a timely manner while staying organized and managing multiple assignments.

  • Provide general administrative support for the marketing department as needed.

Required Qualifications
  • 1-3 years of experience in marketing, administrative support, customer service, or a related coordination role.

  • Working knowledge of Microsoft Excel, including spreadsheets, basic formulas, sorting, filtering, and data organization.

  • Strong organizational skills and attention to detail.

  • Ability to prioritize work and manage multiple assignments in a fast-paced environment.

  • Strong written and verbal communication skills.

  • Positive attitude with a willingness to learn new systems and processes.

Preferred Qualifications
  • Experience in HVAC distribution, construction, wholesale distribution, or another B2B industry.
