Job description

EVTCC is hiring a full-time Operations Coordinator to manage and coordinate essential operational workflows that directly enable exam delivery and certification services. This role is customer-facing and detail-intensive, and it requires strong follow-through, discretion, and the ability to manage deadlines.
The Operations Coordinator works under the supervision of the Operations Manager and is accountable for executing assigned workflows end-to-end, escalating exceptions, and ensuring deadlines are met.
Essential duties
  1. Execute and track exam-cycle logistics (as assigned) end-to-end, including preparation, shipping coordination, confirmations, and issue follow-up.
  2. Execute scoring workflow and results distribution with accuracy checks, recordkeeping, and deadline adherence.
  3. Provide customer service coverage for phones, general email, and mail, including issue triage and escalation.
  4. Process level entries and certificates accurately and timely.
  5. Manage order fulfillment end-to-end.
  6. Complete registration entry and payment processing, including accurate recordkeeping.
  7. Support Validation Conference preparation and logistics.
  8. Maintain office organization and assist with office operations under the supervision of the Operations Manager.
  9. Coordinate social media as assigned.
  10. Provide additional operational support for the Manager (Executive) and Operations Manager as needed.
Minimum qualifications
  • High school diploma or GED.
  • Attention to detail and ability to follow documented procedures.
  • Strong customer service, communication, and listening skills.
  • Comfort with spreadsheets and databases; willingness to learn new systems.
  • Ability to handle sensitive customer and financial data with confidentiality.
Preferred qualifications
  • Associate’s degree or relevant experience.
  • Experience in office administration, operations coordination, customer service, certification/testing administration, or a related support role.
