Foundation Donor Relations/Data Specialist Job Description
The Foundation Donor Relations/Data Specialist reports directly to the Executive Director and helps drive the organization's mission through strategic coordination, operational oversight, administrative tasks, donor database management, and development communications.
ESSENTIAL FUNCTIONS:
  • Ability to exercise independent judgment and discretion when evaluating complex situations and making decisions that directly impact organizational operations
  • Assist Executive Director on creation and preparation of events, appeals, donor collateral, campaigns, and direct mailings
  • Manage the support needs for all Foundation appeals, events, and initiatives
  • Manage internal and external requests for support submitted to the Foundation
  • Manage internal and external requests for support submitted to the Foundation
  • Maintain electronic and paper filing systems
  • Assist the Executive Director in managing calendars, meetings, income and cost tracking, and reports for the Foundation
  • Assist Executive Director with social media for the Foundation
  • Assist in coordination of and preparation for meetings

• Answer phones and retrieve and distribute mail/correspondence
  • Other duties as assigned

Data Management
  • Maintain a clean, efficient, current database of all prospects, donors, and other constituents
  • Process donations and prepare acknowledgement letters and appropriate donor correspondence in a timely manner
  • Maintain accurate files on pledges, pledge collections, and expectancies
  • Reconcile donations with the Finance Department monthly
  • Gather data on events and appeals, and provide reports and analysis to Executive Director
  • Work closely with the Executive Director to coordinate donor lists and create an integrated calendar of donor contacts for the fiscal year

Events Operations
• Assist with the planning and execution of the organization's special events including invitation development and tracking
• Assist with event logistics including budgets, production timelines, vendor communications, catering, technical and operational aspects, guest lists, registration sign-in, set up, and clean up
POSITION TYPE:
• Full-time/Regular
• 40 hours/week

Required Skills
QUALIFICATIONS:
  • Excellent administrative and organizational skills
  • Ability to prioritize and multi-task in a fast-paced environment with close attention to detail, accuracy, and timeliness
  • Experience working in a professional office setting, preferably in nonprofit fundraising with expertise in annual giving, database management, and event planning or equivalent experience from which comparable knowledge and skills are required.
  • Computer literacy, including competency in Microsoft Office and other appropriate software
  • Strong interpersonal skills and the ability to work well independently and collaboratively
  • Excellent written and verbal communication skills, including grammar, spelling and editing
  • Experience implementing, maintaining, and monitoring social media
  • Ability to travel locally with reliable means of transportation

Required Experience
EDUCATION and/or EXPERIENCE:
  • Demonstrated experience and skills in a related field preferred; formal degree not required.
