Job description

Job Title: Billing Insurance Administrator / Surplus Lines Tax Filing Specialist
Job Description
This role focuses on supporting surplus lines tax filing and compliance activities by ensuring accurate tax reporting, documentation, and state filings. You will work as part of a fast-paced, detail-oriented team that is managing a high volume of new and backlogged filings, helping to bring filings up to date and maintain ongoing compliance. The position requires strong administrative, organizational, and data reconciliation skills, as well as comfort working with manual, process-driven tasks and collaborating closely with multiple internal teams.
Responsibilities
  • Support the surplus lines tax filing process by preparing reports and assembling all supporting documentation required for state filings.
  • Compile, review, and reconcile policy, billing, and tax-related data to ensure accuracy and compliance with state and internal requirements.
  • Coordinate closely with internal teams, including underwriting, service, billing and collections, licensing, and compliance, to gather information and resolve issues related to filings.
  • Extract and organize information from the agency management system to support surplus lines tax filings and related reporting.
  • Maintain and update spreadsheets used to track filings, reconciliations, and reporting, ensuring that records remain current and accurate.
  • Assist with resolving discrepancies so that tax filings align with billing, collection, and policy records.
  • Follow established procedures and standard operating procedures (SOPs) to promote consistency and accuracy across all filings.
  • Manage a high volume of work in an environment where priorities may shift frequently, adjusting focus as needed to meet deadlines.
  • Communicate effectively with internal stakeholders to clarify data, address questions, and support the overall surplus lines and compliance functions, without direct client-facing responsibilities.
  • Perform administrative tasks related to documentation, data entry, and filing to support insurance, tax, and accounting processes.

Essential Skills

Work Environment
This is a full-time role at 40 hours per week, with a flexible schedule available within standard business hours of 8:00 a.m. to 5:00 p.m. The position supports surplus lines and compliance teams in a fast-paced, high-volume environment that is currently managing both new and backlogged filings. Work involves extensive use of Microsoft Excel, the broader Microsoft Office Suite, and an agency management system, with Nexsure as a preferred platform. The role is highly detail-oriented and process-driven, with a strong emphasis on manual data handling, documentation, and adherence to established procedures. Collaboration with internal teams is frequent, while interaction remains non-client-facing. The work setting promotes accuracy, consistency, and teamwork in support of ongoing regulatory compliance and tax filing obligations.

This is a Contract to Hire position based out of Neenah, WI.
Pay and Benefits
The pay range for this position is $24.00 - $26.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
