Job description

Our organization seeks to hire a Data Entry/Support Specialist to process all documentation from our team of Logistics Move Coordinators.
This position is vital to the success of the department given the vast documentation process and data entry associated with door-to-door service required by this contract. It requires daily interaction with your appointed Move Coordinators and Management within the department.
Our contract is with the U.S. Department of State, moving household goods and personal effects (via ocean and air) for Embassy employees to/from American Embassies throughout the world.
Given the nature of a government contract, the skill set listed below, strong work ethic and dedication to support the team are key to being successful in this position.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Office skills, duties and responsibilities for this fast pace environment include:
o Strong computer skills a must. Data entry accuracy is critical. Access database, Outlook, Word, Excel at a proficient level.
Duties: Heavy data entry (Read, Analyze & Execute each document)
o Data entry of all New Moves in Access - including saving documentation, create SharePoint & manila file folders
o Process GBL (Government Bill of Lading) and prepare Packing/Marking Instructions & data entry.
o Weight Tickets - data entry in Access - including saving/printing documentation.
o Saving/printing of many documents such as Pre-Move survey, GBL, Weight ticket, Inventory, US Customs documents, Invoices, Ocean Bill of Lading, Air Waybill, delivery documents etc
o Data entry - of sailing and/or flight details in Access
o Accessorial requests - Reimbursement for additional services; email the Department of State and enter Accessorial in Access
o Billing - checking all documentation and Access for accuracy, creating PDF and upload into Access
o Meeting deadlines - we have (2) one for transmitting data to the Department of State and Billing.
o Call agents, on behalf of your coordinator, for origin or destination services as needed
o Claim research as needed to assist coordinator in reaching a settlement
Office Skills: Cannot stress these office skills enough.
o Organization: Key factor and function as the Support Specialist to 3 coordinators.
o Manage a high volume of emails: Both incoming and outgoing.
o Time management: Must have a sense of urgency and ability to prioritize workload and re-prioritize throughout the day to meet our (2) deadlines.
o Multi-task - Must be flexible and able to focus and execute numerous tasks simultaneously.
o Work in a fast-paced environment and adapt to rapidly changing priorities
o Work well under pressure.
o Ability to maintain confidentiality.
o Work in a Team environment.
EDUCATION AND EXPERIENCE:
• High school diploma or equivalent
• Microsoft Office proficiency
• 1+ years' experience in data entry
PHYSICAL REQUIREMENTS:
• Must be able to lift up to 15lbs at times
• Prolonged periods of sitting at a desk and typing on a computer
