Job description

We are seeking a talented Administrative Assistant to join our client, supporting their Engineering team. The ideal candidate will be a quick learner, detail oriented and reliable team member. This position is located in south Calgary.

Responsibilities:

  • Manage documentation, schedule meetings, appointments, and coordinate travel arrangements. 
  • Perform data entry, maintain databases, and filing systems. 
  • Ensure clear communication between administrative staff, Management teams, internal staff and contractors
  • Assist with preparing and distributing engineering reports, presentations, and correspondence. 
  • Assist with the preparation, formatting, and coordination of reports, proposals, presentations, spreadsheets, resumes, and corporate documents while ensuring alignment with company standards
  • Complete general administrative tasks, such as filing, scanning, and data entry.
  • Manage compliance documentation for employee US travel
  • Assist with reception duties, answering incoming calls and greeting visitors 
  • Maintain a clean and organized workspace, managing the reception, office and kitchen areas. 
  • Distributing incoming mail and packages 
  • Maintaining inventory of office supplies 
Requirements:

  • 2+ years proven experience in an administrative role
  • Post-secondary education in Business Administration, Engineering, or a relevant field of study is an asset
  • Excellent communication and interpersonal skills. 
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Strong organizational and multitasking abilities.
  • Ability to maintain confidentiality and handle sensitive information with discretion. 
  • Able to take clear directions and ask questions.
