Job description

Position Summary

South Country Co-op is hiring a File Maintenance Clerk at our Cypress County Agro location in Cypress County, AB. Reporting to the Agribusiness Manager, this role is responsible for maintaining the accuracy and integrity of pricing, inventory, and financial records within the Agro Centre.

The File Maintenance Clerk plays a critical role in supporting daily operations by managing price files, processing invoices and transfers, maintaining inventory and margin accuracy, and ensuring products are properly received into Tronia and the CRS mainframe. This position also serves as a key internal service resource, resolving invoicing and receiving concerns in collaboration with the Agribusiness Manager.

Key Responsibilities

  • Maintain accurate store price files, inventory records, and margin reconciliation.
  • Receive products into Tronia and the CRS mainframe in a timely and accurate manner.
  • Process invoices, transfers, and related documentation.
  • Prepare reports and perform reconciliation to ensure data accuracy.
  • Resolve internal and external invoicing and receiving issues within established guidelines.
  • Maintain organized financial and inventory records and documentation.
  • Provide exceptional internal and external customer service.
  • Communicate effectively with team members, suppliers, and management.
  • Follow company policies, procedures, and safety standards at all times.
  • Perform other related duties as assigned.

Qualifications

  • Must be at least 16 years of age and completed Grade 9
  • Agriculture industry experience and crop protection knowledge, or previous file maintenance experience, is preferred.
  • Proficient in Microsoft Office programs, including Word and Excel; data entry experience is an asset.
  • Knowledge of Tronia and CRS Mainframe systems is preferred.
  • Strong attention to detail with excellent organizational and math skills.
  • Ability to adapt to new technology and learn new systems quickly.
  • Strong analytical, planning, prioritization, and execution skills.
  • Excellent communication and interpersonal skills.
  • High level of integrity, confidentiality, and accountability.
  • Ability to work independently and collaboratively within a multi-generational team.
  • Physically able to perform job duties, including occasional lifting, crouching, and squatting.
  • Positive attitude with a strong work ethic and willingness to learn.

Work Schedule:

This position requires availability from Monday to Friday 8am-3pm with additional hours needed in spring and fall season.
