Job description

Baker, Donelson, Bearman, Caldwell, & Berkowitz, PC has an immediate opening for a Legal Support Assistant in its Jackson, Mississippi office. This is an entry-level role to provide flexible administrative support wherever the office needs it most.  This is an ideal position for someone organized, proactive, and ready to learn. You’ll work closely with attorneys and the office team, gaining exposure to a broad range of tasks in a fastpaced environment. 

ESSENTIAL DUTIES AND RESPONSIBILITIES       

  1. Provides services such as duplication, printing, scanning, mailing.
  2. Proofreads all work for accurate content and context.
  3. Prepares expense reports and check requests.
  4. Assists with client bills.
  5. Prepares engagement letters, invoices, and other case administration documents as needed, at direction of either attorney or paralegal.
  6. Prepares and maintains client and office files both in electronic and paper filing systems.
  7. Liaises with third party vendors when necessary to coordinate services.
  8. Performs data entry, which includes inputting clients' personal biographic or corporate information into firm software.
  9. Schedules and coordinates meetings and conferences which may include distribution of materials.
  10. Coordinates and schedules travel arrangements which include: transportation, automobile rentals, and hotel reservations.
  11. Accurately inputs attorney time into the accounting system when necessary.
  12. Physical presence in the office is an essential duty of this position.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
1. College degree preferred, but not required.
2. Ability to transcribe legal documents, correspondence and reports from rough draft, dictation, or transcription at least 65 wpm.
3. Ability to organize and prioritize numerous tasks and complete them under time constraints.
4. Ability to proofread typed material for grammatical, typographical or spelling errors.
5. Interpersonal skills necessary in order to communicate by phone and in person and follow instructions effectively with a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
6. Work occasionally requires a high level of mental effort and strain when producing a high volume of information.
7. Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.

EDUCATION AND WORK EXPERIENCE

Approximately one to two years law office experience is preferred but not required.
