Department: Admissions / Intake Department
Reports To: Director of Intake
Employment Type: Full-Time, Hybrid Role
Compensation: Entry-level
Position Summary:
The Healthcare Admissions Data Entry Assistant supports the Intake Team by entering patient data, conducting outreach calls, assisting with light contract management, and gradually learning to support benefit verification processes. This role is ideal for someone detail-oriented, organized, and interested in growing within the healthcare administration field.
1. Data Entry (Primary Duty)
a. Accurately input patient demographics, referral information and admission details into our EHR/CRM.
b. Maintain data integrity and ensure timely updates to patient records
c. Be able to self-audit missing information consistently
2. Outreach & Communication
a. Complete outbound calls to potential admissions and families to review admissions process, gather missing information and schedule tours.
b. Be able to answer general questions and connect families to additional resources
c. Document all communication in the EHR/CRM Systems
3. Light Contract Work
a. Assist in preparing pre-admission related documents and preadmission contracts
b. Ensure Proper filing and digital storage of signed documents
4. Opportunity: Back up to Intake Coordinators and Verification of Benefits (VOB)
a. Shadow and assist the VOB team in determining eligibility
b. Learn to navigate payor portals and interpret basic insurance information
c. Learn the Intake Process and begin to service to be able to assist during high traffic times
d. Training provided to see readmissions at Main Account Hospitals
Qualifications:
  • High school diploma or equivalent required; associate degree or coursework in healthcare administration a plus.
  • Strong typing and computer skills; familiarity with EHR systems preferred.
  • Excellent phone etiquette and communication skills.
  • Ability to handle sensitive information with confidentiality.
  • Willingness to learn and grow into more advanced administrative functions.
