Job description

Position Overview
We are looking for a hands-on, detail-oriented, and responsible team member to join our small and fast-paced company.
This is a multi-functional position supporting data entry, order processing, accounts receivable, customer service, sales support, and general office administration. As a small company, we need someone who is willing to wear multiple hats, take initiative, and help wherever needed.
Key Responsibilities
  • Enter customer and sales order information accurately into the company's ERP/OMS system.
  • Create shipping labels, invoices, and order paperwork.
  • Receive inventory into the system and maintain accurate records.
  • Process credit card payments and assist with Accounts Receivable follow-up.
  • Monitor past-due invoices and work with customers, sales representatives, and managers to collect payments.
  • Review open sales orders and prepare paperwork for the warehouse.
  • Monitor backorders and coordinate shipments when inventory becomes available.
  • Prepare monthly AR and Open Sales Order reports and distribute them to Sales Managers.
  • Answer wholesale customer phone calls and respond to customer service/order emails.
  • Assist Sales Managers with rep kits, samples, trade shows, and other sales-related activities.
  • Book flights and hotels for trade shows and business travel.
  • Purchase office supplies and assist with general office administration.
  • Perform other duties as assigned by the supervisor.
Qualifications
  • Previous experience with ERP/OMS systems and data entry required.
  • Strong Microsoft Excel skills; experience with VLOOKUP required.
  • Fast and accurate typing skills.
  • Strong attention to detail and accuracy.
  • Good organizational and follow-up skills.
  • Able to handle multiple tasks and prioritize work in a fast-paced environment.
  • Good written and verbal communication skills.
  • Responsible, dependable, and willing to take initiative.
