Job description

Are you a self-motivated, detail-oriented individual with a knack for keeping things organized and running smoothly? Do you thrive in a fast-paced environment, enjoy working independently, and have a passion for connecting with people? We are looking for a Sr. Client Relations Associate to join our dynamic team.

In this role, you will provide essential administrative support to our Client Relations Team, manage Salesforce data, coordinate bid processes, and help ensure that our clients receive exceptional service throughout the entire project lifecycle. If you're an enthusiastic, organized, and proactive individual who can take initiative and keep things moving, we want to hear from you!

Key Responsibilities:

  • Salesforce Management & Data Entry: Ensure Salesforce is updated with the latest information, including new Accounts, Contacts, Leads, and Opportunities. Maintain accurate, complete, and up-to-date data.
  • Opportunity Coordination: Work closely with Estimating teams to manage new opportunities and ensure timely progress through each stage. Follow up with clients and internal teams to gather necessary information and documentation.
  • Bid Process Support: Manage bid document downloads, folder organization, and ensure bids are submitted on time, in the correct format. Coordinate bid reviews, Scope Reviews, and Page Turn meetings with Estimating and Client Relations teams.
  • Client Engagement: Support Client Relations by reaching out to clients at key touchpoints, assisting with lower-level interactions, and helping organize client meetings and events.
  • Event Coordination: Assist in coordinating and attending General Contractor (GC) meetings, Lunch and Learns, and other client-related events. Enjoy meeting new people and representing the company at various engagements.
  • Team Calendar Management: Own and maintain the Client Relations Team calendar, keeping track of key meetings, deadlines, deliverables, and follow-up tasks.
  • Cross-Department Collaboration: Interface regularly with other internal teams to ensure smooth communication and efficient project execution.

  • Event Enthusiast: You are excited about attending events, connecting with clients and partners, and supporting outreach initiatives.
  • Team Player: While you can work independently, you are also a collaborative team member who communicates well with others and ensures everyone stays on track.

Preferred Qualifications:

  • Experience with Salesforce or similar CRM systems is a plus.
  • Familiarity with the bid process, including RFIs, RFQs, and bid bond processing, is a plus.
  • Previous experience in client relations, sales support, or event coordination is a plus.
  • Strong time management skills and ability to juggle multiple tasks effectively.
