Position: Project Manager

POSITION SUMMARY
The Project Manager is responsible for the successful management, coordination, documentation, and completion of residential and commercial property damage restoration and reconstruction projects.
The Project Manager serves as the primary point of contact between Bulovas Restorations Inc., property owners, insurance carriers, public adjusters, engineers, consultants, subcontractors, vendors, and field personnel.
The Project Manager is expected to ensure that every project is completed safely, professionally, efficiently, and in accordance with company standards, applicable building codes, OSHA requirements, and applicable industry standards, including IICRC standards where applicable.
The Project Manager must protect the interests of both the customer and Bulovas Restorations Inc. while maintaining excellent communication, documentation, production control, and financial accountability.
ESSENTIAL RESPONSIBILITIES
1. PROJECT MANAGEMENT
Manage restoration and reconstruction projects from initial assignment through final completion.
Review the scope of work and establish a clear plan for completing the project.
Coordinate labor, materials, equipment, subcontractors, vendors, and schedules.
Establish project timelines and monitor progress to ensure deadlines are met.
Conduct regular jobsite inspections.
Identify project delays, deficiencies, additional work, and potential problems before they become larger issues.
Maintain accurate project documentation throughout the entire project.
Ensure projects are properly closed out upon completion.
2. CUSTOMER COMMUNICATION
Serve as the primary point of contact for assigned customers.
Maintain professional and consistent communication with homeowners, building owners, property managers, and commercial clients.
Explain project scopes, schedules, procedures, changes, and expectations to customers.
Respond promptly to customer questions and concerns.
Maintain a high level of customer service throughout the project.
Address complaints professionally and escalate issues to management when necessary.
Ensure customers understand the work being performed and any changes to the original scope.
3. INSURANCE CLAIM COORDINATION
Communicate with insurance adjusters, desk adjusters, field adjusters, public adjusters, engineers, consultants, and other claim representatives.
Review insurance estimates and compare them with the actual conditions and required scope of work.
Identify missing or improperly scoped work.
Provide supporting documentation for additional work when warranted.
Assist with supplements, change orders, and scope disputes.
Ensure all work performed is properly documented and supported.
Maintain professional communication with insurance representatives while advocating for the customer’s documented restoration needs and Bulovas Restorations Inc.’s contractual rights.
4. XACTIMATE & ESTIMATING
Review and understand Xactimate estimates and line items.
Assist with preparation, review, and reconciliation of project estimates.
Identify necessary line items that may have been omitted from an insurance estimate.
Review pricing, quantities, labor, equipment, materials, and subcontractor costs.
Assist with supplement documentation and supporting photographs.
Ensure project billing accurately reflects work actually performed.
Maintain complete documentation supporting billed work.
5. FIELD & PRODUCTION MANAGEMENT
Coordinate daily production activities with Crew Chiefs, Technicians, and subcontractors.
Assign manpower based on project requirements.
Coordinate equipment and material deliveries.
Monitor daily production and jobsite conditions.
Verify that work is being completed according to the approved scope.
Ensure technicians properly document work performed.
Review photographs, moisture readings, drying documentation, equipment logs, daily reports, and other required documentation.
Verify that equipment is being used appropriately and efficiently.
Ensure containment, demolition, cleaning, drying, contents handling, reconstruction, and other restoration activities are properly coordinated.
6. SAFETY & COMPLIANCE
Ensure all employees and subcontractors follow company safety policies.
Enforce proper PPE requirements.
Maintain awareness of OSHA requirements applicable to restoration activities.
Ensure appropriate safety procedures are followed for fire, water, mold, sewage, structural, environmental, and other hazardous conditions.
Identify unsafe conditions and immediately take corrective action.
Ensure appropriate containment and engineering controls are utilized when required.
Report accidents, injuries, property damage, and safety concerns to management immediately.
7. RESTORATION INDUSTRY STANDARDS
The Project Manager is expected to understand and apply applicable restoration industry standards and best practices, including:
IICRC standards and guidelines
OSHA requirements
Applicable building codes
Manufacturer specifications
Environmental and safety requirements
Company restoration procedures
The Project Manager must understand that restoration decisions should be based on actual site conditions, documentation, industry standards, safety requirements, and the proper restoration of the property—not simply on an insurance estimate.
8. SUBCONTRACTOR & VENDOR MANAGEMENT
Schedule and coordinate subcontractors and vendors.
Verify subcontractor performance and workmanship.
Confirm subcontractors are completing work according to the approved scope.
Review subcontractor invoices for accuracy.
Verify quantities, labor, materials, and completed work before approving invoices.
Ensure subcontractors maintain required insurance, licenses, and documentation.
Address performance issues promptly.
Maintain professional relationships with reliable vendors and subcontractors.
9. FINANCIAL & JOB COST CONTROL
Monitor project budgets and job costs.
Track labor, materials, equipment, subcontractors, and other project expenses.
Review project profitability throughout the job.
Identify cost overruns and notify management.
Prevent unnecessary expenses and waste.
Review purchase orders and vendor invoices.
Ensure work is properly documented before billing.
Assist management with collection of outstanding balances when requested.
10. DOCUMENTATION
Accurate documentation is a critical responsibility of the Project Manager.
Project Managers must maintain, review, and/or ensure completion of:
Jobsite photographs
Daily project notes
Moisture documentation
Drying logs
Equipment logs
Scope documentation
Change orders
Supplements
Customer communications
Subcontractor documentation
Material receipts
Invoices
Work authorizations
Completion documentation
Final project documentation
If it is not documented, it may be difficult to prove that it occurred.
11. QUALITY CONTROL
Inspect completed work before customer walkthroughs.
Identify incomplete or deficient work.
Create punch lists when necessary.
Ensure deficiencies are corrected promptly.
Verify workmanship meets Bulovas Restorations Inc. standards.
Ensure jobsites remain clean, organized, and professional.
Conduct final inspections before project closeout.
12. ON-CALL & AFTER-HOURS EMERGENCY RESPONSE
Participate in the company’s on-call rotation approximately once per month, with the assigned on-call period generally lasting one week.
Remain available and responsive during the assigned on-call period for after-hours emergency calls and job assignments.
Respond to after-hours emergency property damage jobs as required, including water, fire, storm, sewage, mold, structural, commercial, and other emergency losses.
Coordinate emergency response activities, including customer communication, site assessment, temporary protection, equipment deployment, documentation, subcontractor coordination, and emergency stabilization.
Follow all company procedures regarding on-call scheduling, response times, safety, communication, and documentation.
Communicate with management regarding significant losses, safety concerns, staffing needs, and any issues requiring additional support.
EMERGENCY RESPONSE RESPONSIBILITIES
Project Managers may be required to respond to emergency property damage situations, including:
Fire damage
Water damage
Storm damage
Sewage losses
Mold remediation
Structural damage
Commercial losses
Large-loss projects
Board-ups and emergency stabilization
The Project Manager may be required to coordinate emergency manpower, equipment, subcontractors, temporary protection, contents handling, demolition, cleaning, drying, and stabilization activities.
