YOUR IMPACT

The Lead Facilities Project Manager is an experienced project delivery professional responsible for managing Facilities-related projects from initiation through closure. This role provides hands-on project management support for office construction, renovation, tenant improvement, workplace services, and site coordination initiatives, primarily across the Americas with potential support for global efforts as needed. Working closely with the IT Portfolio Manager, Facilities leadership, Workplace Services, IT, Sourcing, Security, Legal, external vendors, contractors, and other stakeholders, the Lead Facilities Project Manager develops project plans, coordinates execution, tracks risks, manages financial and schedule performance, and ensures project delivery aligns with approved scope, budget, timelines, OpenText standards, and business needs.


WHAT THE ROLE OFFERS

  • Lead end-to-end Facilities projects including office construction, renovations, workplace reconfigurations, infrastructure upgrades, and site readiness initiatives, ensuring delivery within scope, schedule, budget, and quality expectations.
  • Develop and manage project plans by maintaining schedules, milestones, dependencies, resource requirements, financial tracking, risks, assumptions, and delivery constraints throughout the project lifecycle.
  • Coordinate cross-functional stakeholders across Facilities, IT, Workplace Services, Security, Sourcing, Legal, HR, Finance, vendors, contractors, architects, and consultants to ensure successful project execution.
  • Apply project governance and PMO standards by managing approvals, documentation, decision logs, status reports, meeting notes, change controls, and project records.
  • Control project scope and change management through structured planning, impact assessments, baseline management, and disciplined execution of approved changes.
  • Manage project financials including budgets, forecasts, purchase orders, vendor invoices, change orders, expenses, and funding alignment in partnership with Facilities leadership and Finance teams.
  • Monitor and report project performance by maintaining accurate project status, risks, issues, action items, health indicators, schedule progress, financials, and key milestones for leadership and stakeholders.
  • Drive risk and issue resolution by proactively identifying concerns, developing mitigation plans, escalating when necessary, and ensuring timely resolution with internal teams and external partners.
  • Facilitate stakeholder, vendor, and site coordination through project meetings, construction coordination, permitting, commissioning, move management, security, IT infrastructure, workplace logistics, and clear stakeholder communications.
  • Promote delivery excellence and AI-enabled project management by leading through influence, capturing lessons learned, improving project processes and standards, leveraging AI tools for documentation and reporting, and ensuring responsible AI usage aligned with governance and security requirements.

WHAT YOU NEED TO SUCCEED

  • Bachelor's degree in Project Management, Construction Management, Engineering, Facilities Management, Business, or a related field preferred; equivalent education and experience considered.
  • 6+ years of progressive project management experience, preferably supporting corporate office fit-outs, renovations, tenant improvements, workplace changes, construction, or capital projects.
  • Demonstrated ability to manage medium-to-large Facilities projects with cross-functional stakeholders, vendors, contractors, dependencies, risks, and competing priorities.
  • Experience coordinating projects in occupied environments with a focus on minimizing disruption to business operations.
  • Working knowledge of project lifecycle management, governance, RFP's, sourcing, change control, risk and issue management, financial tracking and capital forecasting, project reporting, and stakeholder communication.
  • Familiarity with construction processes, workplace services integration, IT infrastructure dependencies, procurement coordination, health and safety standards, and local building codes are assets.
  • Understanding of construction contracts, vendor coordination, purchase orders, change orders, and project closeout processes is an asset.
  • PMP certification preferred; PMI-CP, CAPM, or other relevant project, construction, or facilities certifications considered an asset.
  • Strong communication, facilitation, organizational, analytical, and problem-solving skills, with the ability to work effectively across internal teams and external partners.
  • Proficient in Microsoft Office Suite, Microsoft Teams, project planning tools, PPM/reporting platforms, and collaboration technologies.
  • Ability to work independently, manage ambiguity, adapt to shifting priorities, and travel between sites as required.
  • Interest in AI learning and practical use of AI-enabled tools to improve planning, reporting, action tracking, risk visibility, and project controls.

Salary Range: $92,320 - $138,480; Depending on the candidate's education, experience, skills, geographical location, and alignment with internal equity and external market, actual salary may vary and be higher or lower than the range posted.
