Job description

Workplace Experience & Operations Coordinator serves as the primary point of contact for the office while supporting broader workplace operations, client experience, and office coordination. In addition to front desk responsibilities, this role owns key components of workplace experience, including event planning, vendor coordination, and workplace issue resolution. This role contributes to a seamless and professional office environment through proactive coordination of workplace services and activities.
Key Responsibilities and Duties
  • Serve visitors by greeting, welcoming, and directing them appropriately.
  • Notifies company personnel of visitor arrival.
  • Assist clients, vendors and other visitors in finding their way around the office.
  • Helps maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining visitor logs.
  • Supports associate onboarding and workplace readiness activities, including coordination of access, badging, and day-one office setup in partnership with security, compliance, IT and workplace teams.
  • Acts as a key point of contact for workplace-related issues, coordinating resolution with facilities, security, and service providers.
  • Serves as a central coordination point for day-to-day office operations, partnering across internal teams and vendors to ensure a seamless workplace experience.
  • Monitors workplace conditions and proactively escalates maintenance or service needs to support overall office operations.
  • Supports the executive management team by coordinating meetings, events, off-site activities, and workplace experience needs, including oversight of catering and executive pantry services.
  • Owns planning and coordination of office events and internal activities, including managing logistics, coordinating vendors, identifying external event spaces as needed, and overseeing execution.
  • Serves as a primary point of contact for external vendors supporting office operations and events, ensuring services are delivered effectively and resolving or escalating issues as needed.
  • Provides administrative support as needed, including documentation, coordination, and meeting support.
  • Maintains a high standard of organization and appearance across reception, conference rooms, and common areas, coordinating maintenance as needed.
  • Coordinates meeting and conference room reservations and readiness, including scheduling, setup, catering, cleanliness, and supply management, to support client and internal needs.
