Office Manager - Custom Home Builder
About the Company We are a high-end custom home builder specializing in luxury residential construction.
Key Responsibilities
  • Manage day-to-day office operations for a growing custom home building company
  • Oversee bookkeeping functions including A/P, A/R, invoicing, and reconciliations
  • Maintain job costing data and assist with budget tracking across projects
  • Support payroll processing and coordination with external accounting partners (if applicable)
  • Assist with the transition from QuickBooks to Viewpoint Vista, including data organization and system adoption
  • Coordinate vendor communication, subcontractor documentation, and insurance compliance
  • Maintain organized project files, contracts, and internal documentation
  • Support project managers and leadership with administrative tasks and reporting
  • Handle general HR/admin duties such as onboarding paperwork and office coordination
Qualifications
  • 3+ years of experience in an Office Manager, Bookkeeper, or similar role
  • Experience in construction or a related industry strongly preferred
  • Proficiency in QuickBooks; experience with Viewpoint Vista or similar construction accounting software is a plus
  • Strong understanding of basic accounting principles and job costing
  • Highly organized with strong attention to detail and ability to multitask
  • Excellent communication and problem-solving skills
  • Self-starter with the ability to work independently in a fast-paced environment
