Job Summary: We are seeking a detail-oriented, technically proficient, and strategically minded CRM Administrator to lead the structure, maintenance, and continuous improvement of our HubSpot CRM platform. This role will serve as the architect and steward of our journey toward a fully integrated Enterprise-level CRM system, capable of supporting multiple business units and complex customer journeys.

The CRM Administrator will play a pivotal role in launching new business units in HubSpot, ensuring data accuracy, automating workflows, and creating robust reporting to inform decision-making. The ideal candidate is a HubSpot power user with a passion for optimizing systems, solving complex challenges, and enabling teams across Sales, Marketing, Operations, IT, and Customer Experience to work smarter and more collaboratively.

Duties & Responsibilities

  • Structure and Implementation
    • Lead the end-to-end setup of new business units within HubSpot, ensuring correct segmentation, reporting, and functionality for each.
    • Configure CRM architecture to align with organizational goals across multiple divisions and customer segments.
  • Data Management & Integrity
    • Maintain and regularly audit HubSpot data to ensure accuracy, consistency, and compliance with internal standards.
    • Manage user access, roles, and permissions to safeguard data and streamline collaboration and ensure compliance with minimum user standards.
    • Support data hygiene efforts, including duplicate record cleanup and field standardization.
  • Workflow & Process Optimization
    • Audit and refine existing workflows, automations, and lifecycle stages to optimize performance.
    • Build and maintain internal processes for lead management, customer onboarding, and task tracking.
    • Develop and support pipelines for Sales, Marketing, and Customer Success.
  • Reporting & Insights
    • Create, audit, and manage real-time dashboards and reports that inform business decisions across departments.
  • Analyze CRM data to identify trends, provide actionable insights, and recommend system improvements.
  • Cross-Functional Support
    • Collaborate closely with Sales, Marketing, Customer Experience, IT, and executive leadership to ensure the CRM meets departmental needs.
    • Support sales initiatives by building assets like contact lists, custom reports, and activity tracking.
    • Provide user training and support to ensure platform adoption and proper usage.
  • System Configuration & Administration
    • Manage and update backend configurations across Marketing Hub, Sales Hub, Service Hub, and CMS.
    • Ensure the platform is fully integrated with other business systems and tools.
    • Serve as the go-to expert for troubleshooting issues, fielding user questions, and implementing technical solutions.
  • Customer Experience
    • Play a pivotal role in the implementation of our Customer Experience strategy within HubSpot.
    • Develop the technical framework and execution plan for adopting Net Promoter Score (NPS) surveys and Customer Health Scores to better understand and serve our customers.
    • Stay current with evolving HubSpot features and tools and ensure we're leveraging new technologies—such as Breeze AI—to enhance customer experience and engagement.

Required Skills & Abilities

  • Deep knowledge and hands-on experience with HubSpot, especially with Business Unit/Brands set up and multi-hub administration.
  • Strong analytical skills and the ability to translate business needs into CRM configurations.
  • Demonstrated experience building complex workflows, reports, and dashboards within HubSpot.
  • Proficiency in data management, including segmentation, list building, and deduplication.
  • Experience collaborating with cross-functional teams and aligning stakeholders on CRM strategy.
  • Excellent organizational skills with the ability to manage multiple projects simultaneously.
  • Strong communication skills and the ability to clearly explain technical concepts to non-technical users.
  • High attention to detail and commitment to data accuracy and process consistency.
  • Comfortable working in a fast-paced environment with shifting priorities.

Preferred Qualifications

  • HubSpot certifications (e.g., HubSpot CRM, HubSpot Reporting, Workflow Automation).
  • Familiarity with other CRM or marketing automation platforms a plus.
  • Experience working in a multi-division or B2B/B2C hybrid environment.

  • Bachelor's degree in marketing, related field of study or equivalent work experience
