JOB SUMMARY
The Project Coordinator provides support to their supervisor by assisting in the coordination, facilitation, and management of creative projects across various departments, including client services, production, and creative services. Duties involve reviewing artwork from both internal creative teams and external vendors, ensuring quality and accuracy. You play a crucial role in managing timelines and schedules, keeping projects on track, and promptly addressing any issues with the Project Manager.

Responsibilities and Activities:
  • Coordinates and facilitates creative projects, ensuring smooth collaboration between client services, creative teams, and external vendors.
  • Manages project schedules and milestones, proactively addressing issues and escalating concerns to the Project Manager as necessary.
  • Maintains and updates project timelines, effectively communicating expectations to all relevant stakeholders, including internal teams, clients, and vendors.
  • Collaborates with art directors and copywriters to create, edit and finalize artwork for production, ensuring adherence to all project specifications.
  • Reviews and verifies the accuracy and quality of artwork produced by internal creative teams and external vendors.
  • Identifies potential risks and gaps in project plans, recommending solutions to ensure timely and successful project completion.
  • Tracks and measures project performance, providing regular updates and reports to Project Managers.
  • Performs additional responsibilities as required to ensure the team's success.

QUALIFICATIONS
Education:
  • Minimum requirement of a Bachelor's degree in Advertising, Marketing, Business or other related major or equivalent experience.

Work Experience:
  • Minimum of 1 year of experience in Project Management or Print Production Management.

Knowledge, Skills, and Abilities:
  • Familiarity with direct mail, digital marketing, and fundraising practices is highly advantageous, enabling effective coordination and execution of multi-channel campaigns.
  • Ability to manage and prioritize multiple projects, adapt to changing project scopes, and collaborate effectively with various teams.
  • Basic understanding of project management and stakeholder coordination, with strong organizational and communication skills to support client-facing activities.
  • Detail-oriented with the ability to handle multiple tasks and meet important deadlines, ensuring smooth project progression.
  • Familiarity with MS Excel, MS Word, MS PowerPoint, Adobe Acrobat, Microsoft Teams, Outlook, and Chrome. Exposure to project management tools like Workfront is a plus.
  • Effective written and verbal communication skills, ensuring clear interaction with team members, clients, and vendors.
  • Developing critical thinking skills to identify potential issues and propose solutions, with a willingness to learn and adapt in a fast-paced environment.
