The Role:
We are seeking a Project Manager partner to help establish processes, track progress, and document best practices for their growing brand mega platform. This person will work in close partnership everyday with the creative and account teams to ensure seamless workflows can be established from early planning, brief, and through final delivery. The PM needs to understand and unite client expectations and requests and ensure the smooth management of workstreams across their various partnerships and programs.
The PM will keep tabs on project deadlines, update all stakeholders and monitor progress. To do this, PM key responsibilities include:
Working alongside client lead to outline objectives - timings, scopes, costs. Establish timelines & task planning with project leads and various agency partners. Play a key role in organizing project teams. Key stakeholder for Project documentation. Monitoring time management and tracking overall progress across multiple workstreams. Awareness of all client communications and able to identify action items for the appropriate teams. Working with Operations and Account leads for SOW creative, budgeting, and utilization planning.
The right person for this role will be a true partner to the project leads and understand agency and creative process and be able to liaise between internal teams to facilitate communications, filter asks, and push the work forward.
The PM will be someone who can connect the dots across a highly matrixed environment within the client team and make sure everyone understands status and next steps at any given moment.
The PM will oversee process from conception to execution, having the benefit of a holistic perspective of all work along with maintaining a status of each individual project. The PM will be responsible for filtering and distributing incoming asks, facilitating timelines and check ins and consistently communicating with the Operations and PM team to ensure best practices are carried across this piece of business.
Key Tasks:
  • Resource Planning and Task Management - This person should always be tracking to ensure these teams are able to meet deliveries as agreed upon and/or work with client if adjustments need to be made along the way.
  • Time monitoring - The PM should be knowledgeable of all ongoing timelines and workstreams and will be in charge of establishing the communications cadence for keeping these up to date. This means, they should always understand if a project under their purview is on/behind schedule and flag when changes are needed, as well as how those changes might impact budgets/workstreams.
  • Data - the PM will be responsible for monitoring and understanding the data related to projects, time tracking, and budgets to plan best next steps.
  • Budgeting - creating, shepherding through development and implementation into agency systems, and tracking through regular report monitoring; Able to give recommendations at any stage of budgeting so ensure projects are scoped correctly.

Skills:
  • Fluency with Microsoft programs, especially PowerPoint and Excel. Fluency with project management software. Knowledge of Adobe Acrobat is a plus.
  • Well-versed in the information, assets and timing necessary across various types of projects
  • Ability to build out timelines, breakout a phased approach to projects and schedule internal reviews for creative teams
  • Ability to establish relationships across the Account Management team and work as a partner in pushing the work forward
