Job description

Stuart, Florida | Full-Time

Great creative doesn't happen by accident. It happens because someone is behind the scenes making sure the right people are working on the right projects at the right time—with clear priorities, realistic timelines, and zero confusion.

That's this role. Cotton & Company is a nationally respected, AI-forward agency specializing in luxury real estate and private club communities. We produce a high volume of creative advertising work across print, digital, social, video, and web—and we're looking for someone who thrives on bringing order to fast-moving creative environments.

This position sits at the center of our Creative Department, partnering with Account Executives, Creative Directors, Designers, Copywriters, Digital, Media, Web, and Production teams to keep projects moving from concept through delivery.

You'll be part project manager, part traffic manager, part problem solver, and part air traffic controller. If you enjoy creating structure, solving bottlenecks before they happen, and helping talented creatives do their best work, we'd love to meet you.

What You'll Do
  • Managing the day-to-day workflow of the Creative Department
  • Assigning projects based on team capacity, deadlines, skill sets, and priorities
  • Building and maintaining project schedules from kickoff through final delivery
  • Leading project kickoff meetings and ensuring creative briefs are complete before work begins
  • Monitoring workloads and proactively balancing resources across the department
  • Identifying scheduling conflicts, risks, and bottlenecks before they impact delivery
  • Working closely with Account Executives to prioritize projects and communicate timeline expectations
  • Keeping project management software current with schedules, milestones, assignments, and deliverables
  • Coordinating internal reviews, revisions, approvals, and production deadlines
  • Following up with team members to ensure deadlines are met and projects continue moving forward
  • Communicating schedule changes and shifting priorities clearly across departments
  • Helping establish and improve agency workflows, templates, and operating procedures
  • Tracking project status and providing regular updates to department leadership
  • Supporting process improvements through automation, AI tools, and project management best practices
  • Helping maintain a positive, collaborative, solutions-oriented culture across the creative team

Who You Are
  • This role is ideal for someone who naturally organizes everything around them.
  • You love checklists.
  • You notice bottlenecks before anyone else.
  • You enjoy solving puzzles, improving processes, and bringing calm to busy environments.
  • You communicate confidently without creating drama.
  • You know how to keep projects moving while building trust with both creative teams and client-facing staff.
  • You're comfortable making decisions, adjusting priorities on the fly, and keeping dozens of moving pieces organized without letting anything fall through the cracks.
  • You have experience managing creative, marketing, or agency workflows and understand how work moves from brief through final delivery.
  • You're comfortable using project management platforms, automation, and AI-supported tools to create visibility and improve efficiency.

Why This Role Is Different
  • This is not an administrative coordinator position. This is ownership.
  • You are responsible for ensuring projects move efficiently through the agency while balancing priorities, deadlines, resources, and client expectations.
  • You'll constantly evaluate workloads, identify conflicts before they become problems, communicate changing priorities, and keep everyone aligned on what happens next.
  • When this role is working well, our creative team spends more time creating—and less time wondering what they're supposed to be working on.
  • Fast-paced agency environment — No two days look the same.
  • High-profile luxury brands — Work on some of the country's premier real estate developments and private communities.
  • AI-forward organization — We embrace technology that makes us faster, smarter, and more efficient.
  • Real ownership — You'll help shape workflows and improve how our agency operates.
  • Collaborative culture — Work directly with leadership and every department across the agency.

Why Cotton & Company?

You will work on prestigious national accounts alongside experienced strategists, writers, designers, media professionals, developers, and company leaders. You will have a voice in the work, direct exposure to meaningful business challenges, and the opportunity to grow as quickly as your capabilities allow.

Our headquarters is located near historic Downtown Stuart, Florida, with convenient access to the Riverwalk, local restaurants, shopping, cultural activities, and the South Florida waterfront lifestyle.

Benefits and Employee Perks

Cotton & Company offers a competitive benefits and workplace package that includes:

  • Competitive compensation: Competitive salaries based on the responsibilities of the position and the candidate’s experience.
  • Health benefits: Access to health, dental, and vision benefits, along with elective supplemental medical benefits.
  • Retirement and profit sharing: Cotton & Company shares a percentage of profits with staff through cash bonuses and 401(k) distributions.
  • Paid vacation: Ten paid vacation days per year.
  • Paid sick leave: Five paid sick days per year.
  • Paid holidays: Paid time off for major holidays.
  • Professional development: Hands-on learning, exposure to multiple marketing disciplines, and opportunities to develop new capabilities.
  • Career advancement: A culture that values internal growth and seeks to promote from within before recruiting externally.
  • Team events: Monthly birthday celebrations, luncheons, annual holiday party, annual company anniversary gathering, and other events organized throughout the year.
  • Collaborative agency culture: The opportunity to work closely with an experienced, multidisciplinary team where employees can contribute ideas and see the direct impact of their work.
  • Downtown Stuart location: A convenient location close to dining, shopping, the Riverwalk, and the waterfront.
