Job description

About the Role:

Tubi is looking for a Coordinator to join our Creative Studio team. This role plays a key part in supporting the successful execution of Originals marketing campaigns by owning the operational workflows, systems, and project infrastructure that keep campaigns moving from planning through delivery.

Working closely with Producers, Creative Directors, and cross-functional partners, the Coordinator ensures projects are organized, assets are managed, documentation is maintained, and operational processes are executed consistently across all assigned projects and workflows. This role is ideal for someone who is highly organized, detail-oriented, proactive, and excited to build efficient workflows that enable creative teams to do their best work.

The Coordinator partners closely with Producers throughout the campaign lifecycle, owning day-to-day operational execution.

This is a hybrid role based out of our Los Angeles office. You must be willing to travel to our Los Angeles office two days/week.

What You'll Do:

  • Own project setup and campaign infrastructure for assigned campaigns and workflows, including creating project records, folder structures, project documentation, and other materials needed to support campaigns from planning through delivery.
  • Create and maintain project briefs, review documents, deliverable trackers, and project documentation, ensuring campaigns are organized, execution-ready, and accurately tracked throughout the project lifecycle.
  • Maintain accurate project data in Airtable, perform ongoing audits to ensure data integrity, and support continuous improvements to team workflows and systems.
  • Coordinate creative review logistics by preparing review materials, scheduling meetings, tracking feedback and approvals, maintaining project documentation, and ensuring review materials are distributed to the appropriate stakeholders.
  • Manage creative assets throughout the campaign lifecycle, including tracking incoming media, organizing assets across Frame.io, Google Drive, and other systems, validating deliveries, and coordinating final asset distribution.
  • Coordinate on-set photography operations by managing on-set brief workflows, tracking production milestones, confirming asset deliveries, maintaining photography archives, and ensuring required materials are received and organized.
  • Coordinate vendor operations, including onboarding support, tracking scope requests and approvals, and managing invoice collection, validation, and routing.
  • Partner with the Content team and production partners to monitor production schedules, casting updates, asset availability, and other key project milestones, proactively following up on missing information and deliverables, and communicating potential impacts to Producers.
  • Support delivery operations by organizing final deliverables, coordinating asset distribution to internal stakeholders, tracking required documentation, and ensuring projects are properly closed out.
  • Prepare agendas, meeting notes, action items, and recurring project updates for team and cross-functional meetings while maintaining documentation and shared resources that support efficient team operations.
  • Assist in preparing project updates, leadership presentations, and other recurring reporting to communicate project status and team priorities.
  • Proactively identify opportunities to improve operational workflows, documentation, and team processes to drive greater efficiency across the team.

Your Background:

  • 2+ years of experience as a coordinator or team assistant within an agency, studio, network, or in-house creative team in the entertainment space.
  • Highly organized and detail-oriented, with a commitment to accuracy across systems, timelines, and asset management.
  • Clear, professional communicator - both written and verbal - who is comfortable interacting with internal and external stakeholders and can synthesize information concisely.
  • Able to manage multiple projects simultaneously in a fast-paced environment, effectively prioritizing competing deadlines and adapting as needs shift.
  • Proactive and solutions-oriented, with the ability to anticipate workflow gaps, flag risks early, and suggest improvements to systems and processes.
  • Strong working knowledge of project management fundamentals and comfort owning administrative and operational components of creative campaigns from kickoff through delivery.
  • Advanced proficiency in Google Workspace; working knowledge of Airtable (including building views, automations, linked records, and basic formulas) preferred.
  • Self-motivated, resourceful, and comfortable taking initiative without waiting for direction.
  • Bachelor's degree in Marketing, Communications, or related field - or equivalent professional experience.
  • Passion for film and television, with excitement about contributing to a high-volume creative studio environment.
