Role Description:We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level administrative and strategic support to senior executives. The ideal candidate is a trusted business partner who anticipates needs, manages competing priorities, and ensures the executive's time is optimized through exceptional calendar management, communication, and operational support.
Skills, experience, qualifications and knowledge required:
Key Responsibilities
  • Manage complex calendars, meetings, and scheduling across multiple time zones.
  • Coordinate domestic and international travel, including flights, hotels, transportation, visas, and detailed itineraries.
  • Prioritize and manage incoming communications, including emails, phone calls, and correspondence.
  • Prepare presentations, reports, agendas, meeting materials, and executive-level communications.
  • Take meeting notes, track action items, and follow up to ensure timely completion.
  • Coordinate internal and external meetings, board meetings, client meetings, and leadership offsites.
  • Serve as a liaison between executives, business leaders, clients, and external partners while maintaining professionalism and confidentiality.
  • Manage expense reports, invoices, purchase orders, and budget tracking.
  • Support special projects, strategic initiatives, and cross-functional coordination.
  • Maintain confidential records and handle sensitive information with the highest level of discretion.
  • Improve administrative processes and identify opportunities to increase executive efficiency.
  • Qualifications
  • Bachelor's degree preferred.
  • 5+ years of Executive Assistant experience supporting C-suite or senior executives.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment.
  • High level of professionalism, discretion, and confidentiality.
  • Strong problem-solving skills with the ability to anticipate executive needs.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and collaboration tools such as Microsoft Teams, Zoom, Slack, and Google Workspace.
  • Preferred Qualifications
  • Experience supporting multiple executives simultaneously.
  • Experience in financial services, consulting, or other fast-paced corporate environments.
  • Event planning and board meeting coordination experience.
  • Project management experience.
  • Familiarity with expense management systems such as Concur.
